Hire Desk Controller (with Transport Coordinator Cover)

Job Summary



We are seeking a highly organized and detail-oriented Hire Desk Controller to manage the lifecycle, tracking, and reporting of company assets. In addition to asset responsibilities, this role will also provide cover for the Transport Coordinator during periods of absence, ensuring smooth and compliant transport operations.

This dual role requires excellent coordination, communication, and record-keeping skills, with the ability to step into a fast-paced transport environment when required.

Key Responsibilities



Asset Coordination



Maintain accurate records of all company assets including tools, equipment, and machinery. Conduct regular audits and physical checks of assets to ensure correct usage and location. Coordinate asset allocation, returns, and transfers across departments and locations. Liaise with procurement, operations, and finance teams regarding asset requirements and budgets. Ensure all assets are correctly tagged, registered, and maintained according to company policy. Assist with disposal and decommissioning of outdated or unusable assets following environmental and regulatory guidelines.

Transport Coordination (Cover)



Provide temporary cover for the Transport Coordinator during leave or absence. Manage daily scheduling and dispatching of vehicles and drivers. Ensure transport operations are compliant with relevant transport and safety regulations (e.g., driver hours, vehicle checks). Liaise with drivers, maintenance teams, and project managers to ensure timely deliveries and collections. Address transport issues or breakdowns efficiently and communicate updates to stakeholders. Maintain transport logs and reporting for compliance and auditing. Planning required transport for the group

Requirements



Essential:



Proven experience in asset management, logistics, or related fields. Strong organizational and administrative skills. Ability to adapt quickly and manage competing priorities. Proficient in Microsoft Office and asset tracking systems. Strong communication skills, both written and verbal. Ability to work independently and as part of a team.

Desirable:



Knowledge or experience in transport coordination or fleet management. Understanding of transport compliance and health & safety standards. Experience with transport scheduling software. Valid UK driving licence. CPC qualification or similar

Working Conditions



Office-based with occasional visits to depots/sites. Flexible working hours may be required during transport cover periods. Occasional lifting or handling of equipment may be involved.
