We are seeking a dedicated and proactive Housing Officer, Compliance and Administrative officer to manage and oversee housing services within our organisation. The successful candidate will be responsible for maintaining positive relationships with tenants, ensuring compliance with housing policies, and facilitating smooth communication between residents and management. The Admin and Compliance Officer plays a vital role in ensuring the effective administration, regulatory compliance, and day-to-day operational support of a veterans housing service. The postholder will be responsible for maintaining accurate records, ensuring compliance with housing regulations, policies, and funding requirements, and supporting governance and audit processes. In addition, the role includes providing practical and wellbeing-focused support to a small number of veteran tenants, working alongside housing officers and external agencies to promote tenancy sustainment, independence, and wellbeing. This position requires a high level of organisation, attention to detail, professionalism, and a compassionate understanding of the needs of veterans, including those who may have experienced trauma, mental health challenges, or difficulties transitioning to civilian life.
Duties
Act as the primary point of contact for tenants regarding housing-related issues and queries.
Conduct regular inspections of properties to ensure maintenance standards and health & safety regulations are met.
Negotiate lease agreements, rent adjustments, and resolve disputes efficiently and professionally.
Maintain accurate records using Yardi property management software, including tenant files, rent payments, and maintenance requests.
Coordinate repairs and maintenance work with contractors and internal teams to ensure timely completion.
Organise tenant meetings, community events, and outreach programmes to foster a positive community environment.
Ensure compliance with all relevant legislation, policies, and procedures related to housing management.
Prepare reports on occupancy rates, rent collection, and tenant feedback for senior management.
Key Responsibilities Administration & Office Support Maintain accurate and up-to-date tenant records, housing files, and electronic databases in line with GDPR and data protection requirements. Manage correspondence, emails, reports, and document control for the housing service. Support the preparation of internal reports, performance data, and management information. Coordinate meetings, take minutes, and manage action logs as required. Act as a point of contact for internal staff, tenants, contractors, and external stakeholders. Compliance & Regulatory Responsibilities Ensure compliance with relevant housing legislation, regulatory standards, organisational policies, and funding requirements. Monitor and maintain compliance records including health and safety checks, property inspections, gas safety certificates, electrical safety reports, fire risk assessments, and insurance documentation. Support internal and external audits, inspections, and regulatory reviews. Assist with policy development, review, and implementation to ensure best practice and regulatory compliance. Track deadlines and ensure timely completion of compliance-related actions and renewals. Veterans Housing & Tenant Support Provide direct support to a small caseload of veteran tenants, offering practical assistance to help sustain tenancies. Support tenants with housing-related issues such as understanding tenancy agreements, budgeting, benefit applications, and access to services. Assist tenants in navigating support services including health, mental health, substance misuse, employment, and veteran-specific agencies. Build positive, professional relationships with tenants based on trust, respect, and clear boundaries. Identify early signs of risk or tenancy breakdown and escalate concerns appropriately to senior staff or safeguarding leads. Record all tenant interactions accurately and in line with organisational procedures. Safeguarding, Equality & Professional Practice Adhere to safeguarding policies and procedures, reporting concerns promptly and appropriately .Promote equality, diversity, and inclusion, ensuring services are delivered in a fair and respectful manner. Maintain professional boundaries and uphold confidentiality at all times. Demonstrate an understanding of veterans' needs, including the potential impact of trauma, PTSD, and adjustment to civilian life. Partnership & Stakeholder Engagement Liaise with local authorities, health services, veteran charities, support agencies, and contractors to support tenant wellbeing and service delivery. Support partnership working to ensure veterans receive coordinated and effective support. Person Specification Essential Proven experience in an administrative and/or compliance role, preferably within housing, health, social care, or the voluntary sector. Strong organisational skills with excellent attention to detail. Knowledge of housing compliance requirements, health and safety, and data protection principles. Experience working with vulnerable individuals or providing support in a professional setting. Excellent written and verbal communication skills. Ability to manage confidential information sensitively and professionally. Competent IT skills, including Microsoft Office and database systems. Desirable Experience working with veterans or within a veterans' support organisation. Knowledge of housing legislation, supported housing, or regulatory frameworks. Understanding of safeguarding, trauma-informed practice, and mental health awareness. Experience supporting tenants or service users with complex needs. Experience
Proven experience in housing management or a related field is preferred.
Strong negotiation skills with the ability to resolve conflicts amicably.
Familiarity with Yardi or similar property management software is highly desirable.
Excellent organisational skills with attention to detail in record keeping and reporting.
Ability to communicate effectively with diverse groups of people, demonstrating professionalism at all times.
Knowledge of relevant legislation governing housing and tenancy agreements is advantageous.
