Job Description


Due to an impending maternity leave, our client, a friendly, inclusive organisation in Leamington Spa is looking for an HR Assistant. This will be on a 12 month fixed term contract, directly with the organisation.

The successful candidate will assist the HR Manager with recruitment, HR projects and HR administration and contribute ideas to improve the HR service and employee wellbeing.

Key responsibilities

  • Carry out all aspects of HR administration (recruitment process, Occupational Health & Surveillance processes, Learning & Development monitoring etc)
  • Draft offer letters, employment contracts and other documentation
  • Perform right to work, reference and medical checks etc for all new employees
  • Manage the onboarding and induction process for all new starters
  • Assist the Production Manager with peak season recruitment, inductions and checking timesheets against invoices
  • Manage the long service and annual recognition processes
  • Respond to employee contract and/or handbook enquiries and escalate when needed
  • Maintain the HR system (Workday) inputting HR data and acting as 1st line support, logging and resolving issues with 2nd line support. Prepare reports as required.
General duties
  • The HR Assistant is responsible for other such duties as specified by the Management team and Directors to enable the Company to fulfil its orders and obligations.
  • Adherence to Company Rules and Regulations, including Health and Safety, as outlined in the Company Handbook and Health & Safety Manual.
  • Maintaining the confidentiality of all knowledge and information appertaining to the Company, its customers and its employees.
Person specification

Essential:
  • Previous experience of working in an HR or recruitment role
  • Extensive experience of office administration
  • Evidence of the practice of a high level of confidentiality
  • Excellent organisational skills
  • High degree of attention to detail
  • Excellent interpersonal skills at all organisational levels, and the ability to network in order to liaise for best practices with other sites of the group
  • Excellent oral and written communication and the ability to prioritise workload
  • Be a good networker in order to liaise for best practices with other sites of the group
  • Demonstrable ability to be able to respond to changing priorities
  • Strong I.T. skills and experience of using HR systems (ideally Workday)
Desirable:
  • Knowledge of Workday
  • Experience of supporting employee relations activities
  • Experience of recruitment and selection activities
  • Personal interest in art/design
