1.Recruitment & selection Supporting the HR Department in the administration process for recruitment and selection, in particular:

  • manage the administration of recruitment campaigns including: advertising vacancies, collating applications and data, corresponding with candidates, assisting managers with the shortlisting and selection process.
  • monitor recruitment and selection data to contribute to HR reports.
  • organise interviews for short listed applicants, including arranging the interview date, panel, rooms and interview programme
  • oversee the preparation and distribution of interview packs
  • oversee the recruitment filing system, including records on unsuccessful applicants
  • responsible for meeting and greeting interview candidates, informing the candidates of the outcome of the task and if applicable scheduling them for an interview
  • managing the personnel records and ensuring all are kept up to date
  • responsible for the new starter process, including setting up new starters, and ensuring all details are accurately recorded, such as qualifications, etc

2. HR database and reporting
  • Enter timely and accurate people data on to the HR database including but not limited to, new starters, changes to employee details, disciplinaries, grievances, clock card administration for payroll and any other database input as required by Head of People and Culture. (TMS and HRM)
  • Coordinate reporting from the HR database and the creation of HR reports in order to inform management (trackers, reviews).

3. HR communications
  • Maintain the HR information on the Company noticeboards, screen savers
  • Organise and coordinate Works Committee meetings (schedule meetings, minute taking and managing the notes)

4. HR administration
Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates etc.) in both paper and the database and ensure all employment requirements are met
  • Administrate new starters including pre-employment checks, preparing documents, processing applications for references and general payroll and pension administration.
  • Create and maintain HR records including manual and electronic filing systems, including employee records, new starters, leavers etc.
  • Organise and conduct individual and group inductions for new employees:
  • communicate details of new employees to appropriate colleagues to ensure facilities and equipment are readily available upon commencement of employment
  • ensure new employees receive Induction Packs and associated information on their first day of employment
  • make the necessary arrangements for new employees to attend induction training
  • update structure charts
  • Coordinate probationary periods ensuring processes are followed by:
  • managing probationary reports/trackers
  • issuing probationary guidance,
  • identifying reports which are unsatisfactory and bring these to the attention of the relevant manager and HR Manager

Administrate and oversee Reward Schemes
Liaising with Agency provider and Leaders to ensure all workers assignments are managed in line with the agreed rules and practices
Monitor and record information contained on exit questionnaires, and any issues on the questionnaire are raised with the relevant manager
Managing and recording of sickness absence records including RTW interviews
Support Managers/Leaders in terms of correct procedures and policies
Support Managers in notetaking during disciplinary, grievances and any other meeting that requires HR attendance.
  • General administration including scanning, photocopying, filing, updating documents.

5. HR Projects
  • Support Managers and Head of People and Culture with Employee Engagement Survey.
  • Support Head of People and Culture with any HR related projects that arise in the business.
  • Promote site initiates such as fundraisers, wellbeing days and any other people related initiatives to deploy into the business.

6. Training
  • Support Training Coordinator with administration including arranging courses, pre-training and post-training assessments, record-keeping.
Assist in coordinating in-house training sessions and seminars

7. Health and Safety
  • Ensure compliance with Health and Safety Regulations
  • Ensure a safe and compliant working environment is maintained at all times
  • Full responsibility for the administration of H&S management systems (accidents log, 1st Aiders, Risk assessments trackers, H&S actions log)
  • Co-ordinating H&S Committee meetings (minutes taking and managing notes)
Any other duties commensurate with role as requested by the Head of People and Culture
Work Area Skills
  • Proven experience as an HR Administrator / Assistant or relevant human resources/administrative position
  • Knowledge of human resources processes and best practices
  • Strong administrative skills
  • Good organisational and time management skills
  • Strong ability in using MS Office (MS Excel and MS Powerpoint)
  • Experience with HR databases (e.g. Mitrefinch)
  • Familiarity with social media recruiting
  • Good communication and interpersonal skills (verbal and written)
  • Ability to handle data with confidentiality
  • Excellent customer service skills
  • An interest in developing HR knowledge and skills
  • Ability to think for yourself and implement best practice in the absence of a policy or procedure
