HR Assistant is a vital role in supporting various HR functions, ensuring the smooth operation of our human resources processes. This position requires strong administrative skills and the ability to communicate effectively with employees at all levels.
Responsibilities:
Managing HR documents, processing paperwork and ensuring compliance with HR policies.
Maintaining accurate and up-to-date employee records in HR databases.
Assisting in the implementation and communication of HR policies and procedures. Recruitment support: including posting job ads, managing applications, coordinating interviews, offers of employment.
Supporting the onboarding and induction of all new employees.
Preparing reports on HR metrics and data.
Serving as a primary point of contact for HR-related queries from employees and external stakeholders.
Training: Booking courses, coordinating refreshments as required and securing rooms etc
General Administrative Support (aiming for paperless environment) Filing, scanning, letter generation, document issuing etc.
Support with absence management and data logging and helping supervisors with the process.
Supporting stock take/quarterly briefing.
Annual SPC Party [Christmas or Summer] and/or other staff events/fun days -Planning/coordinating
Liaising/coordinating media support - Magazine generation/issue.
Primary contact for office cleaning contractors.
Customer hampers/gifts/Christmas card design etc.
Benefit and rewards for staff.
Annual policy review/revision with the HR lead.
Travel bookings: Flights, hotels, taxi's, private cars etc.
Accuracy and attention to detail are essential for maintaining accurate employee records and complying with HR policies.
Strong organizational and time management skills are crucial for managing multiple tasks and deadlines.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and HRIS (Human Resources Information System) is essential.
The ability to build rapport with employees and other stakeholders is crucial for providing effective HR support.
