Reporting to the HR Officer (Staff Development) the HR Clerical Officer provides administrative and clerical support to the Human Resources department, ensuring the efficient and accurate maintenance of employee records in respective systems, HR documentation, and day-to-day HR operations. The role is part-funded by MEDR health and wellbeing funding, and provides the role holder with a variety of clerical and administrative responsibilities across a number of functions within the HR team, supporting a range of administrative activity.



Candidates should have a minimum of 5 GCSEs at grades A- C (incl. English and Maths) or NVQ level 2 in a relevant subject area (or equivalent) and have previous experience of working within an office /administrative environment.


The ability to communicate in Welsh is essential for this post.



The successful candidate will be expected to commence as soon as possible.



This role will be located on campus at Bangor. Through our Dynamic Working framework, there will also be the option to spend some time working remotely (although remaining in the UK) to support work life balance, which will be discussed further with candidates at interview.

Purpose of the Job



The role will provide an individual with a variety of responsibilities across three areas within the HR team as is noted below.



Common across all of the three functions outlined below is the responsibility for editing the relevant web pages, ensuring that they are kept accurate and up to date, and uploading documents and content as advised by colleagues.



The primarily inwards facing nature of HR will see the role holder Working closely with colleagues across the Institution, in both the Academic and Professional Services.



Main Duties and Responsibilities



Supporting the Staff Development function


The role holder will support the HR Officer (Staff Development) in the administration of HR development activities.
Utilising the i trent system this will include the training programme: creating events, managing bookings, arranging venues, issuing joining instructions.
In relation to the induction programme for new staff members similarly booking venues, sending joining instructions and invitations, and liaising with those contributing to the induction and ensuring the information is accurately recorded.
The role holder will also utilise relevant systems (I Trent, Bangor BI, Blackboard) to produce reports and data as required. Such reports will relate to a variety of staff development activities such as attendance at specific courses, programmes such as the Bangor Manager programme, mandatory training completed, , PGcertHE data, HEA teaching qualification data for HESA return and PDR's (performance development reviews) carried out within a designated period.

Supporting staff Health and Wellbeing


The role holder will support the Health & Wellbeing Project Manager on MEDR funded health and wellbeing activities.
This administrative support will be tasks such as arranging meetings, minute-taking, processing invoices and purchase orders, dealing with general enquiries and being a point of contact for internal and external queries about staff wellbeing activities, and assisting with the preparation, delivery, and promotion of health and wellbeing events as required across the university.
The role holder will also be responsible for coordinating routine health surveillance recall appointments in line with statutory and organisational requirements, and on an annual basis, maintaining accurate records through the secure archiving of occupational health documentation.

General HR responsibilities



The role holder will be responsible to responding to queries and requests from third parties, specifically mortgage and tenancy references (providing confirmation of employment letters) and administer work experience opportunities for local Schools/Colleges.
The role holder will monitor generic e-mail accounts, responding to, and distributing messages accordingly, as well as dealing with any physical mail received.
Other administrative duties will include administering the Jury Service process, ensuring staff files are archived in line with Department procedures, and respond appropriately to requests for information e.g. Auditors, considering GDPR / Data Protection Act, and stock overview e.g. stationery.
The role holder will provide cover for the department's Executive Assistant during periods of absence. This will include processing DBS applications, monitoring e-mails, monitoring incoming telephone calls, arranging meetings and so forth, with an expectation of providing support across the department to meet workload peaks, cover for staff absence, so as to provide a seamless service to the wider University.Other Duties and Responsibilities

Qualifications/Training



Essential


Minimum of 5 GCSEs at grades A- C (incl. English and Maths) or NVQ level 2 in a relevant subject area (or equivalent).

NVQ level 3 in a relevant subject area.
ECDL Certificate.

Experience/Knowledge



Essential


Experience of working within an office /administrative environment.
Proficient in the use of Microsoft Office applications (Word, Excel etc).
An understanding of GDPR legislation and the importance of confidentiality.
