Job Description

To provide administrative support to the HR and Compliance functions, ensuring smooth day-to-day operations, accurate record-keeping, and timely coordination of key processes across the firm. The role supports recruitment, onboarding, compliance monitoring, staff records, and firm-wide regulatory requirements.

Key ResponsibilitiesHR Administration



Maintain up-to-date employee records, files, and HR databases. Support recruitment processes, including job postings, interview scheduling, and candidate communication. Assist with new starter onboarding, induction arrangements, and preparing HR documentation. Track probation reviews, appraisals, training, holidays, and attendance. Prepare HR letters, forms, and internal communication as needed. Support HR Manager with employee relations administration (notes, follow-ups, documentation).

Compliance & Regulatory Support



Assist in maintaining compliance registers, including AML, GDPR, training logs, and policy updates. Help prepare documents for audits, inspections, and file reviews. Monitor staff completion of mandatory training and certifications. Support compliance checks for new employees (right to work, DBS, references, etc.). Ensure policies, procedures, and templates remain updated and accessible. Assist in maintaining confidentiality and data protection standards across the firm.

General Office & Administrative Support



Coordinate internal communications when required. Support the preparation of reports and monitoring spreadsheets. Liaise with external providers where instructed (training partners, regulators, IT, etc.). Assist in arranging staff events, meetings, and training sessions.

Skills & Experience



Previous experience in HR, compliance, or administrative support (preferred but not essential). Strong organisational and time-management skills. Ability to handle confidential information with care and professionalism. Excellent written and verbal communication. Proficiency in MS Office and HR/Case Management systems (training provided). Strong attention to detail and accuracy. Ability to work independently and within a team.

Pay: 24,420.00-30,000.00 per year
