We are seeking an experienced Human Resources Manager to join our dynamic team to support both Vice Studios and our teams located in London. The ideal candidate will possess a strong background in human resources management and will be responsible for overseeing the end to end employment lifecycle, including accountability across core people systems, payroll, and business partnering.
The role is best suited to someone with both strong technical capability and the agility to work autonomously in a fast-paced, production-led environment.
We currently work a hybrid model with the requirement for the successful applicant to attend our London office 3 days per week, with 2 remote days.
Responsibilities
People Operations & Systems
Take full responsibility for the day-to-day administration and configuration of our HRIS (HiBob), partnering closely with the vendor and our system implementation consultants at BPM, including:
Managing back-end workflows, automations and permission structures ? Creating and maintaining dashboard reporting and data exports for HR and leadership
Leading user training and adoption of new features or system enhancements ? Act as the HR system subject matter expert, liaising with our IT and finance functions and the vendor as required
Payroll Oversight
Own the monthly payroll cycle for all UK teams in partnership with payroll
Oversee timely data submissions, ensure accurate reconciliation of payroll outputs, and resolve any discrepancies
Partner closely with the finance team on payroll approvals, reconciliation, and the submission of BACS payments
Provide reporting and forecasting support to finance
Business Partnering
Deliver end-to-end HR support including employees, directors, and a high volume of freelance and contingent workers
Manage freelance contract workflows and onboarding for short-term, project-based roles, ensuring compliance with IR35, tax, and right-to-work requirements
Support engagement of Schedule D freelancers and liaise with legal and finance teams on compliant structuring and timely processing of contracts
Provide fast-turnaround support on UK immigration matters for directors and production staff / talent
Manage production-specific incentives such as production fees, director fees, and shoot fees - managing paperwork, ensuring incentives are applied equitably and liaising closely with finance for correct implementation
Provide pragmatic, commercially attuned HR advice in a production-led environment that demands rapid decision-making, adaptability, and the ability to apply HR knowledge in time-sensitive, often commercially driven scenarios
Flexibility to support client groups across London and Los Angeles time zones, including occasional participation in meetings or calls outside standard UK working hours. While not required daily, the role demands the ability to respond to LA-based needs at short notice when necessary, particularly during time-sensitive production
Generalist Support
Manage own caseload independently, including all associated admin and processing responsibilities
Provide advice and support to line managers and employees on HR policies, employee relations, performance, and development
Support employee lifecycle events, including probation, promotion, and career development discussions
Participate in the roll-out of HR projects across the business (e.g. policy updates, engagement surveys, DEI initiatives)
Maintain accurate employee records through HRIS systems, ensuring data integrity and confidentiality.
Conduct data analysis to inform decision-making processes related to workforce planning and employee engagement initiatives.
Address employee relations issues promptly and effectively, promoting a positive work environment.
Ensure compliance with all relevant employment laws and regulations while advising management on HR policies and procedures.
Requirements
Proven experience in human resources management within studios, production and/or media industry
Hands-on experience with HR systems administration, including backend configuration and reporting
Demonstrable payroll oversight experience
Experience supporting freelance and contingent workforces, including familiarity with visa/work permit processes
Strong data literacy, attention to detail, and ability to manage compliance risk
Strong communication skills, both verbal and written
A proactive approach to problem-solving with strong interpersonal skills to build relationships at all levels within the organisation.
