Role Overview

We are seeking an organised, proactive, and professional individual to support our business across three key areas: Human Resources, Operations, and Executive PA duties. This role is essential in ensuring smooth day-to-day operations, consistent HR processes, and comprehensive support to the Managing Directors.

You will act as a central point of contact for HR matters, oversee administrative and compliance processes, and provide high-level personal assistant support, including diary management, itinerary planning, and meeting coordination.

Key Responsibilities

1. Human Resources

Employee Relations

Support and guide staff on HR policies, procedures, and general HR queries. Assist with low-level ER issues, escalating to senior management where necessary. Maintain professional, confidential handling of all staff matters.
Onboarding & Offboarding

Prepare and issue offer letters, contracts, and new starter documentation. Conduct and document induction meetings. Set up new employees on HR systems and ensure correct access permissions. Manage exit procedures, including equipment return, system deactivation, and exit interviews.
Attendance, Sickness & Holiday Management

Log and monitor employee hours, sickness, lateness, and absence triggers. Manage the holiday request and approval process. Ensure accurate record-keeping in HR systems.
Recruitment

Assist in the recruitment process including drafting job descriptions, posting vacancies, screening candidates, arranging interviews, and preparing interview packs. Support onboarding of successful candidates.
Compliance & HR Administration

Maintain up-to-date employee files and HR system records. Ensure all processes meet legal requirements, GDPR standards, and company policies. Track probation reviews, appraisals, and required training.
2. Operations & Administration

Support daily business operations and ensure processes run smoothly. Maintain internal systems, documents, and compliance logs. Assist with scheduling, resource planning, and office organisation. Coordinate communications across departments to ensure smooth workflow. Provide general administrative support including document creation, record keeping, and reporting.
3. Personal Assistant to Managing Directors

Manage calendars, appointments, and scheduling for the MDs. Coordinate travel, itineraries, accommodation, and logistics. Prepare meeting agendas, take minutes, and oversee follow-up actions. Handle confidential correspondence on behalf of the directors. Assist with project coordination and ensure deadlines are met. Provide day-to-day organisational support to ensure the MDs can operate efficiently.
Skills & Experience Required

Experience in HR administration or operations (CIPD qualification desirable but not essential). Strong understanding of HR processes such as onboarding, recruitment, and employee relations. Excellent organisational and time-management skills. Strong interpersonal and communication skills (written and verbal). High attention to detail with strong accuracy in administration. Ability to prioritise tasks and work independently. Professionalism and confidentiality essential. Proficiency in Microsoft Office, HR systems, and administrative tools. Experience supporting senior management or Directors is advantageous.

Pay: 19,500.00-23,809.50 per year
