This is an exciting opportunity to join our Human Resources department and play a crucial role in coordinating the entire HR employee life cycle. Based in Snodland, you'll report directly to the HR Operations Manager, working alongside two other HR Assistants, Case Advisor and an HR Systems Administrator. There will be some flexibility to work from home, but initially you will work on-site to fully settle into the role.
We're looking for someone who is self-motivated, committed, and highly organised, ready to provide essential first-line support and advice to both managers and employees. You'll quickly adapt to different tasks and systems, ensuring processes are smooth and efficient from a new starter's first day to helping an employee through various life stages.
You will also support the HR department with minute-taking at disciplinary meetings and grievances, as well as Job Evaluation meetings and team briefings. As such, you must have professional conduct and be comfortable liaising with employees at all levels. A driving license is required to enable you to comfortably travel to sites in our other regions (Sussex and Hampshire / Berkshire) when required.
It's crucial that you are working towards Level 3 CIPD and have demonstrable experience and interest in working within a HR department. This will allow you to transition into the role quickly and seamlessly support the business areas you are responsible for.

Main responsibilities:
Co-ordinate the HR employee life cycle processes and be the first line of support and advice.
Issue, chase, check, and process all relevant paperwork for starters and leavers, including invitations to interviews, offers, induction, and referencing.
Triage and respond efficiently to all emails within the HR/Recruitment inbox and the AskHR system, forwarding complex queries to the relevant advisor. You will be comfortable being the first point of call for queries from managers and employees.
Provide support to the HR department through essential tasks like minute taking, and coordinating one-off and regular events such as team meetings, Job Evaluation, and Staff Council. You will also attend disciplinaries and grievances when required.
Manage the administration for Maternity, Paternity, Parental leave, and Flexible working, including attending meetings as needed.
Maintain and update personal files and arrange archiving to ensure easy retrieval.
Assist the Senior HR Advisor/HR BPs with the preparation of documents, for example, for disciplinary or investigation meetings, and take notes.
Code invoices for payment and ensure timely return to the finance department.

Skills / Qualifications / Experience
Working towards or completed Level 3 CIPD
A full, clean driving licence
Administrative experience
IT literate (good knowledge of Google Workspace)
Able to multitask and prioritise tasks in a fast paced environment
An eagerness to undertake research or training to enhance your knowledge of HR, particularly current and upcoming legislation
