Job Overview



Full time: 37.5 hours per week (Mon - Fri) Salary: 35,000 per annum Contract: Permanent role Location: Stroud, Hybrid (4 days onsite, 1 day working from home) Reporting to: Head of Operations Closing Date: Midnight on 20th July 2025.

About the role:



We are a UK-based wholesaler looking for an experienced and detail-driven Import/Export Administrator to join our growing team. This is a newly created role with exciting opportunities to develop and implement new systems that will shape the future of our logistics operations.

You will be responsible for managing all aspects of our import and export activities across the EU and globally. From preparing shipping documentation and ensuring compliance with customs regulations to coordinating with hauliers and freight agents, you'll play a key role in keeping our supply chain running smoothly.

Reporting to the Head of Operations, you'll work closely with our Product, Stock, Accounts, and IT Development teams to streamline processes and drive efficiency

You will be responsible for:



Issuing timely and precise clearance instructions to freight agents. Managing import/export requests and prepare accurate shipping documentation, including commercial invoices, cargo manifests, packing lists, and dangerous goods notes. Engage with hauliers and freight agents to identify the most appropriate shipping solutions based on cost and delivery schedules. Keep up-to-date with HMRC tariffs, including commodity codes, INCOTERMS, customs procedure codes, and duty requirements. Stay informed about current and emerging international trade laws and regulations. Provide detailed shipping instructions and ensure freight forwarders comply with requirements. Maintain accurate and organised electronic filing systems and databases Generate KPIs to monitor departmental output and adherence to service level agreements. Contribute to continuous improvement activities to enhance efficiency. Ensure all import/export processes align with company policies and relevant industry standards. Support compliance audits by ensuring adherence to import/export regulations and internal policies. Oversee the coordination and execution of all import/export transactions. Track and trace cargo to ensure timely and accurate delivery to final destinations. Negotiate with carriers, warehouse operators, and insurance representatives for goods transportation. Manage the payment process for freight and duty charges. Resolve issues related to cargo transportation, including disputes and discrepancies. Perform regular audits of shipping and receiving documentation for accuracy.

About you:



Essential Skills & Experience

Demonstrated experience in an import/export role. Strong ability to perform well under pressure and consistently meet deadlines. Solid administrative background in a similar role. Sound knowledge of import/export processes and relevant customs regulations, including commodity codes, INCOTERMS, customs procedure codes, and duty requirements. Strong IT proficiency, especially in MS Office and Excel; you will need to comfortable with excel trackers to be able to calculate the best order volumes and provide info to freight forwarders. Skilled in communicating with key stakeholders, including customs agents, freight forwarders, and suppliers, with the confidence to resolve issues effectively High level of attention to detail and professionalism.
Desirable Skills & Experience

Practical knowledge and hands-on experience managing import/export operations across NI, EU, US, AUS, and other global markets. Proven experience in drafting and implementing Standard Operating Procedures (SOPs) to ensure process consistency and compliance. Experience within the healthcare and wellbeing products sector.
