Investment Administrator

What is the team like?
An exciting opportunity to join a team of 9 Investment Managers and 5 support staff who are focussed on providing wealth and portfolio management services to a large book of existing international and domestic clients. The team focus on a broad and diverse range of direct and intermediary clients globally.

This is an administration and support role, the purpose of which is to facilitate the effective running of the client book through the provision of high quality administrative support. The role will be to support the PM in order to provide a high level of service to new and existing direct and intermediary clients and will encompass a broad range of functions listed below.

There will be a strong focus on meeting regulatory obligations including obtaining KYC information, assisting with the administration of newly acquired clients and on boarding processes, servicing existing clients, trade allocation compilation and assistance with managing the existing client booking from an admin perspective. There will be a mix of both client and advisor interaction and investment/portfolio management related admin tasks with an opportunity to learn and broaden knowledge and experience within in each of these areas.

Whilst the role itself does not have a natural progression to an Investment Management or Wealth Planning role, consideration would be given to providing support to complete relevant professional exams that would aid the successful candidate\'s development of their knowledge and understanding of the industry in the context of the role that they are undertaking.

What are the key responsibilities?

Carry out the full range of administrative duties to support Tom Foster\'s client book. This would include:

  • Assist the PM with regulatory reviews of existing client relationships, & tasked with the completion, recording and write up of regulatory reviews and tasks, keeping KYC data up to date.
  • Oversee and organise the teams\' regulatory review work flow.
  • Day-to-day running of the review and completion of client document files to meet regulatory standards.
  • Assist PM in client reporting processes, including performance calculations.
  • Preparation and drafting of client documentation of forms for new clients including financial questionnaires, client agreements and other regulatory/tax compliance forms.
  • Liaise with clients to help them with the on-boarding process and ensuring accounts set up correctly
  • Working with clients to request and obtain necessary account opening documentation such as AML documents and trust deeds in a format that meets regulatory requirements.
  • Draft Commencement Letters
  • Assist PM with preparation of client investment proposals, client meeting preparation, meeting notes, follow ups, and documentation.
  • Assist PM with general marketing and presentations.
  • Analysis of client portfolio data, reporting back to IM.
  • Coordinate and attend portfolio review discussions when appropriate.
  • Develop relationships with the team\'s client base and their IFAs/intermediaries
  • The successful candidate should feel comfortable having follow up conversations with clients. Primary client interaction is with the client on telephone or email with limited travel to client sites.
  • Where possible contribute to the growing and optimising of PM\'s client book.
  • Responsible for leading projects to monitor and check for accuracy of client static data and other admin related projects as required.
  • Communicating with client to assist in resolving admin related matters and responding to client requests as they arrive.
  • General administration duties to support the investment team answering phones, taking and passing on messages for them and other team members.
  • Assisting in the timely preparation and dispatch of reports and valuations.

  • Reliable and enthusiastic with a strong sense of integrity and a willingness to develop an understanding of our corporate purpose.
  • Proactive, naturally efficient and organised with a sense of pride in completing tasks to a high standard with consistency.
  • Showing concern for people, supporting colleagues and encouraging growth and development of the business.
  • Relevant administrative experience in a financial services environment.
