Osborne Clarke are seeking an experienced IT Software Asset Manager to join our growing IT department in our Bristol office.



This position will play a crucial role in managing and maintaining the lifecycle of all IT software assets within the organisation, ensuring accurate records, optimised usage, and cost-effective procurement and retirement.



This is a permanent position offering hybrid working


The role





The IT Software Asset Manager will be a key member of the IT Excellence Team, promoting collaboration, team working, and innovation. This role will involve maintaining an accurate inventory of all IT software assets, managing the procurement process, and ensuring compliance with software licensing agreements and company policies.



Other key responsibilities include:


Asset Management:

Maintain an accurate inventory of all IT software assets. Monitor and manage the lifecycle of software assets, including usage, updates, renewals, rightsizing, and decommissioning, optimising software costs.


Procurement and Deployment:

Collaborate with the central Procurement team on the acquisition process for new software, raising Purchase Orders and approving invoices, ensuring cost-effectiveness and compliance with company policies. Coordinate the deployment and installation of new software assets.


Compliance:

Ensure compliance with software licensing agreements and company policies, avoiding underuse and overuse. Monitor software usage to ensure that it aligns with licensing agreements and take action to rectify any discrepancies.


Policy Development:

Develop and implement software asset management policies and procedures.


Financial Collaboration and Reporting:

Collaborate with the Finance Team to manage asset-related budgets and forecasts. Provide regular reports on asset status, utilisation, and costs to internal stakeholders, ensuring transparency and informed decision-making.


Security:

Ensure all software assets are secure and comply with Information Security policies. Opportunity to act as Asset Management Practice Owner within the ITIL framework.


Team Support:

Deputise for the ITS Hardware Asset Manager in the event of any absence, including procurement, deployment coordination, lifecycle management, stock audits, reporting, and compliance.


We are looking for




Proven experience in IT asset management or a similar role. Strong knowledge of software licensing, including enterprise agreements and compliance. Understanding of IT hardware, including PCs, laptops, servers, and networking equipment, and its interaction with software. Excellent organisational and record-keeping skills. Strong negotiation and vendor management skills. Ability to work independently and as part of a team. Strong communication skills, both written and verbal. Proficiency in using asset management software and tools. Awareness of Information Security best practices. Proficiency in Microsoft Office Suite, particularly Excel. Familiarity with Microsoft E5 is a plus. Prior experience with ServiceNow and knowledge of ITIL framework are desirable.
