About the role:





The

IT Operations & Systems

Admi

nistrator

is responsible for the effective management of the Terrapinn's IT assets (Software and Harware) and the integrity of its configuration data. This includes the entire lifecycle of software licenses and IT configurations, ensuring legal compliance, cost optimization, and accurate record-keeping to support all IT service management processes.

Software

License

Administration

Manage, track, and maintain all software licenses and entitlement. This includes user access control (provisiosing/de-provisioning) and enforcement of security policies (e.g., 2FA, license role mapping).

Cost

Optimisation

& Procurement:

Analyze software usage to identify opportunities to reclaim or optimize licenses and reduce spend. Collaborate with stakeholders on the software purchasing and renewal processes to ensure accurate license counts and types are acquired.

IT Operations & Support:

Provide effective first- and second-line support for user devices, network connectivity, and core IT systems, supporting both in-office and event environments.

AI Proficiency:

Proven experience using AI tools (e.g., ChatGPT or embedded vendor AI) to to streamline troubleshooting, automate configuration updates, and enhance the accuracy of license utilization reporting.

Infrastructure & Endpoint Management:

Manage office IT infrastructure (Wi-Fi, printers, routers). Oversee basic management (MDM, patching, antivirus) to maintain security.

Vendor Liaison:

Liaise with Managed Service Providers (MSPs) and vendors for escalations, upgrades, and incident management.



Configuration Management (

CM) and Database (CMDB)




CMDB Management:

Administer and maintain the Configuration Management Database (CMDB) as the single, definitive source of truth for all IT assets and their configurations.

CI Identification

& Inventory

Define, document, and manage Configuration Items (CIs), such as software applications, servers, endpoints, and their dependencies.

Data Integrity

& Audits

Ensure the accuracy, completeness, and consistency of CI data through regular audits and data reconciliation.

Lifecycle & Change Support:

Track and document all configuration changes throughout the asset lifecycle and effectively troubleshoot configuration issues.



Process and Reporting




Process Development:

Develop, document, and implement IT asset management and configuration management policies, processes, and procedures. Document all IT setups, standards, and troubleshooting procedures.

Reporting:

Generate regular management reports on license compliance, utilization, status, and health metrics.

Continuous Improvement:

Identify and implement opportunities for process and tool improvements to enhance the efficiency and effectiveness of assets and configurations.

Stakeholder Collaboration:

Work closely with internal stakeholders to align asset and configuration data with business needs and ensure procurement efforts are efficient.



About you:





We believe that you'll need the below skills and experience to succeed in this role.

Qualifications




Bachelor's degree in Computer Science, Information Technology, or a related field (or equivalent work experience).

years

of experience in IT Asset Administration (ITAM), Software Asset Management (SAM), or Configuration Management (CM). ITIL Foundation Certification (or higher) is highly desirable. Relevant vendor certifications e.g., in specific CMDB or SAM tools, are a plus.



Technical Skills




Proven experience managing SaaS platforms such as Microsoft 365, Google Workspace, Slack, Zoom, BitDefender and Monday.com. Strong understanding of software licensing models (subscription, per-user, enterprise). Familiarity with IT asset management or inventory tools. Working knowledge of networking concepts (Wi-Fi, DNS, DHCP, VPNs, and firewalls). Proficiency in Microsoft Excel or Power BI for analysis and reporting. Practical experience leveraging AI tools (e.g., LLMs) for scripting, analysis and IT administrative automation. Experience liaising with MSPs and technology vendors. Basic knowledge of cloud administration and integrations (Azure, Google Cloud, AWS).
