To provide efficient and cost effective administrative and legal support to partners and fee earners in the departmental team. This entry level role involves carrying out a wide range of administrative tasks that will provide the foundation for providing administrative support within a professional law firm.
Key tasks
1. To participate fully in the use of all case-management system/s, and to observe and apply fully any file management procedures as shall be in operation within the firm;
2. To assist fee earners and other staff with routine photocopying/scanning of documents and shredding of confidential waste;
3. To assist with the archiving of legal matters, ensuring that the matter closing procedures are correctly followed and that files are sent to/recalled from offsite storage in a timely manner
4. To provide cover for the office reception and switchboard as required, taking overflow calls for the offices as required, ensuring that callers are routed through to the right members of staff, accurately taking messages etc
5. Ensure that office stationery stocks and other office supplies are kept replenished
6. To ensure the timely and accurate handling of correspondence sent/received from clients, work providers or third parties
7. Maintain up-to-date records on the online client portal/app, ensuring clients have real-time access to the progress and status of their transaction
8. Helping fee earners with legal research
9. Ensuring that all matters and files sent for archive are logged with the correct retention and destruction dates
10. Assist fee earners with the review and audit of any matters for compliance purposes;
11. To carry out effectively and efficiently such administrative tasks as shall be reasonably requested by the Partners or the Practice Manager;
12. To participate in supervision/appraisals in respect of your workload, performance and personal development;
QUALIFICATIONS AND SKILLS REQUIRED

A minimum of 5 GCSE's (or equivalent) which must include English and Maths |

Ability to complete tasks in a methodical way, ensuring that processes are closely followed |

Working knowledge/experience of using MS Office (particularly Microsoft Word, Excel and Outlook) |

Previous experience in an office-based role or working in an administration focused position |
