What can you expect?

Fieldfisher\'s Regulatory Department supports businesses across a wide range of sectors, including food and beverage, healthcare, life sciences, transportation, and financial services, offering day-to-day commercial guidance as well as strategic risk management advice and specialist investigation and litigation support. An opportunity has arisen within the team on a permanent basis to support 2 Partners, a Director along with 3 fee earners.

Responsibilities

  • Diary management responsibilities including making appointments, organising meetings, arranging video conference, and ensuring the smooth running of such meetings including ordering refreshments / IT requirements etc. as appropriate.
  • Proactive client liaison including taking messages, passing on information and dealing with queries.
  • Pro-actively delegate work to the relevant secretarial resource e.g. Document Production team, Practice Administration, Print Room and Concierge to ensure that PA time is maximised.
  • Manage the production of all documents (even those not typed personally) from initiation to delivery back to the relevant fee earner, involving Document Specialists as required and taking ownership.
  • Collating and delegating to Practice Admin expenses, invoices and payments received, ensuring that the correct charge codes are used and follow up action taken where appropriate.
  • Organising transport, accommodation via Concierge and preparing related documentation for UK and international travel as required.
  • Various large admin jobs such as producing bundles with BundleDocs and uploading/downloading from sharing sites i.e. iManage Share.
  • Assisting with workload of team members within practice group and across the firm as required.
Proactive billing and credit control:
  • Management and co-ordination of the Partners\xe2\x80\x99 billing and financial requirements which includes: -
  • Check Evergreen to ensure that partners / fee earners time recording is up to date \xe2\x80\x93 remind where necessary and remind Partners / senior associates of final billing day for the month end.
  • Liaise with Billing for Partner WIP reports - run WIP reports, distribute to Partners and chase Partners for client matters numbers for printing billing guides and draft invoices.
  • Check with Partners/senior associates to ensure that all matters they want to invoice have been billed.
  • Build an understanding of each client\'s different billing requirements to ensure that invoices are not rejected.
  • Prepare specific draft billing narratives where required.
  • Submit invoices on behalf of Partners and respond to clients on billing issues.
  • Build relationships with Client PAs/accounts departments to ensure that billing issues are resolved quickly.
  • Run residual balance reports using Power BI and liaise with Partner and fee-earners accordingly.
  • Requesting purchase order numbers
Opening new clients:
  • Prepare client registration documents, engagement/assignment letters, conflict checks, money laundering and audit letters, with direction from partner/fee earner.
  • Liaise directly with clients to obtain AML documentation for onboarding purposes.
  • Liaising with Practice Admin to open the client/matters.
Marketing and Business Development
  • Maintain CRM by updating InterAction, maintaining fee earner contact list and the recording of activities for BD purposes.
  • Support Marketing and Business Development administration e.g. prepare alerts, event invites, presentations, and uploading content to the firm website.
  • Any additional ad hoc tasks as required.
Experience and Knowledge
  • Must be a competent, fast, and accurate typist.
  • Must possess excellent diary management, organisation, and prioritisation skills.
  • Must be able to communicate effectively and build good relationships with clients and staff within the firm.
  • Must have excellent attention to detail and proof-reading skills.
  • Professional telephone manner and the ability to accurately record and pass on messages.
  • Must work well as part of a team but also can work on own initiative.
  • Sound technical skills in the following areas: Microsoft Office IT skills \xe2\x80\x93 Word, Excel, PowerPoint, Publisher, Outlook (Fieldfisher uses Microsoft 2010).
  • Proven document or case management skills (Fieldfisher use iManage Work).
  • Proven experience of using a legal computerised finance system (Fieldfisher use Evergreen).
  • Proven experience of using a Client Relationship Management system (Fieldfisher use InterAction).
