Full time Legal Secretary required for busy Ayr Office, to support legal professionals in all aspects of their caseload.
Summary
As a Legal Secretary, you will provide essential administrative support within our residential conveyancing department, ensuring efficient office operations. Full training in our case management and digital dictation systems will be provided. However, core skills in typing, and client communication will be vital in preparing legal documents, managing correspondence and keeping clients and colleagues updated . Proficiency in audio typing, Microsoft Office applications, and time management is essential. You will also perform reception duties when required. The core working hours are 9am-5pm, Monday to Friday, however we do support a flexible work arrangement of 35 hours worked over 4 days.
Responsibilities
Perform various administrative tasks, including managing schedules and organizing files.
Type and format legal documents quickly and with precision, ensuring accuracy in all communications.
Utilize audio typing skills to transcribe digital dictation efficiently.
Maintain proficiency in Microsoft Office applications to support daily operations.
Communicate effectively with clients and colleagues, demonstrating strong interpersonal skills.
Manage time effectively to meet deadlines and prioritize tasks.
Qualifications
Proven administrative experience
Strong communication skills, both written and verbal
Proficient typing and audio typing abilities
Expertise in Microsoft Office Suite, including Word, and Outlook
Excellent time management and organizational skills
Ability to handle multiple tasks efficiently and effectively
