Overview


We are seeking a highly organised and detail-oriented Legal Secretary to join our dynamic legal team. This is a varied role combining traditional legal secretarial support with general office administration and reception duties.

The successful candidate will ideally have experience within Private Client work (Wills & Probate), although applicants with strong secretarial/administrative backgrounds in other areas of law will also be considered. You must have at least 3 years relevant work experience and be eligible to work in the UK.

The ideal candidate will possess strong administrative skills and a thorough understanding of legal procedures. This role is essential in ensuring the smooth operation of our office, providing support to legal professionals, and maintaining effective communication with clients and other stakeholders.

Responsibilities



Providing secretarial support to solicitors, particularly within the Private Client department (Wills, Probate, Powers of Attorney, Trusts). Provide comprehensive administrative support to solicitors, including managing schedules and appointments. Prepare and proofread legal documents, correspondence, and reports with a high level of accuracy. Managing diaries, arranging appointments, and scheduling meetings Assisting with court applications and document submissions. Conduct audio typing for dictations and transcriptions as required. Maintain an organised filing system for both electronic and paper documents. Filing, scanning, photocopying, and maintaining client records in line with compliance requirements. Manage incoming communications, including phone calls, emails, and postal correspondence. Utilise Microsoft Office Suite effectively, including Word, Excel, PowerPoint, and Outlook for various tasks. Assist in the preparation of case files for court proceedings or meetings. Ensure compliance with confidentiality protocols and data protection regulations. Coordinate meetings and liaise with clients to ensure their needs are met promptly. Supporting fee earners with case administration and billing processes.

Experience


The successful candidate will have:

Previous experience as a Legal Secretary or Office Administrator (Private Client experience preferred). Proficient audio typing skills to ensure efficient document preparation. Strong communication skills to interact effectively with clients and colleagues. Excellent typing speed with high accuracy levels. Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook. Strong IT skills to navigate various software systems used within the legal field. Exceptional time management abilities to prioritise tasks effectively in a fast-paced environment. Professional telephone manner and good client care skills. Ability to work independently and as part of a team. Accuracy and attention to detail. Well-developed organisational skills to maintain an orderly workspace and manage multiple tasks simultaneously.
