We are seeking a highly organised and efficient Legal Secretary to join our dynamic legal team. The ideal candidate will provide essential administrative support to all fee earners and departments, as well as manage the office telephone system, reception duties, and other ad hoc administrative tasks as required.
This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment.
You will play a pivotal part in supporting our fee earners and ensuring the smooth day-to-day running of the office.
Key Responsibilities
Reception duties and managing all incoming calls using the firm's telephone system
Audio typing for fee earners using digital dictation (BigHand) and ensuring files are time recorded for billing
Handling mail dispatch (post, hand delivery, email, and sharing platforms)
Acting as first point of contact: taking new enquiry calls, booking appointments, diary management, and opening new matters
Photocopying, scanning, document bundling, and preparing court bundles, along with general filing and administration
Managing Fee Earner Reviews to ensure file management complies with the Quality Procedures Manual and Lexcel requirements
Managing monthly closing and idle files
Assisting the Billing Clerk and managing cost reviews of files
Person Specification - Skills & Experience
Previous experience in the legal sector is desirable, although strong administration experience will also be considered
Excellent telephone manner
Typing skills and experience with digital dictation (preferred but not essential)
Highly motivated, organised, and adaptable with a willingness to take on new tasks
Strong prioritisation and resilience, with the ability to excel under pressure and meet strict deadlines
Strong written and verbal communication skills
Proficient IT skills
A strong work ethic and dedication to delivering exceptional results
