Working full time Permanent Monday to Friday - hybrid working option could be available for the right person
The role is based within York City centre and easily accessible on foot from York Train Station and on a bus route.
Are you an experienced legal secretary looking for a dynamic role in residential property? Hawk 3 Talent Solutions are seeking a proactive and highly organised Residential Conveyancing Secretary for a firm of solicitors based in York, North Yorkshire to support fee earners with a wide range of secretarial and administrative tasks. This is a fantastic opportunity to join a collaborative team and contribute to high standards of client care and operational efficiency.
Key Responsibilities
Secretarial Support

• Prepare legal documents and correspondence using digital dictation and word processing.
• Manage diaries, schedule meetings, and maintain accurate records.
• Assist with financial documentation including invoices and fund distribution.
• Provide guidance to junior secretarial staff and cover reception duties when needed.

Document & File Management

• Handle daily filing, open and close client files, and ensure secure document storage.
• Prepare and dispatch mail accurately and promptly.
• Maintain organised filing systems to support smooth workflow.

Client Interaction

• Deliver professional and courteous service to clients in person and over the phone.
• Handle enquiries discreetly and communicate effectively with clients and colleagues.
• Uphold high standards of professionalism and confidentiality.

Teamwork & Development

• Work independently and collaboratively within the legal team.
• Prioritise tasks efficiently and adapt to changing demands.
• Take initiative within established guidelines and pursue ongoing professional development.

Preferred Skills & Experience

• 2+ years of legal secretarial experience (training provided).
• Fast and accurate audio and copy typing.
• Proficiency in Microsoft Word and Excel.
• Familiarity with legal case management software (e.g., Partners for Windows) is a plus.
• Strong grammar, spelling, and legal terminology knowledge.
• Excellent communication and organisational skills.
• Ability to manage confidential information with discretion.
• Flexible and resilient under pressure.
