We are seeking an experienced and highly organised Property Legal Secretary to join our team in York. This role supports fee earners within the property department, ensuring the smooth running of conveyancing and commercial property transactions through exceptional administrative, secretarial, and client liaison support.
Key Responsibilities:
Prepare, format, and proofread legal documents including contracts, leases, transfers, and completion statements.
Handle post-completion tasks such as SDLT submissions and Land Registry applications.
Maintain and update electronic and physical files in line with firm protocols.
Liaise professionally with clients, solicitors, estate agents, lenders, and other third parties.
Draft routine correspondence, respond to client enquiries, and provide timely updates.
Manage diaries, book appointments, and coordinate property searches.
Open, close, and archive client files, ensuring compliance with SRA regulations.
Assist with billing processes, WIP reports, and time recording.
Support conveyancing processes by carrying out necessary legal searches.
Ensure all documentation is filed accurately and deadlines are tracked and met.
Maintain confidentiality and data protection compliance at all times.
Skills & Experience Required
Previous experience as a legal secretary in residential or commercial property (essential).
Strong working knowledge of Land Registry and SDLT processes.
Fast and accurate typing skills (ideally 60+ wpm) and proficiency in MS Office and legal case management systems.
Excellent communication and client care skills.
High attention to detail, ability to prioritise, and strong organisational skills.
Proactive, professional, and team-oriented approach.
