Access Legal Proclaim

as our new case management platform and are seeking hands?on support to ensure our

client communications

(letters and emails) are accurate, consistent and automation?ready.

About You:


You're a meticulous organiser with strong

Microsoft Word

skills (styles, fields, mail merge/content controls) and experience curating templates or operational content. You can simplify complexity, spot duplication, and collaborate with fee earners and external Proclaim specialists. Prior exposure to

case management systems

(Proclaim desirable) is a plus but not mandatory.

Job Overview:


A focused, time?bound role to

inventory, rationalise and prepare

our client?facing templates for

Proclaim

--including inserting merge fields, standardising house style, and documenting the

field mapping

so communications auto?populate correctly (client name, matter reference, fee earner, dates, etc.). You will report directly to

Operations Manager,

Frankie McClure, supporting the wider implementation as required.

Key Responsibilities:



Template discovery & catalogue

: Gather all current client communications (onboarding, updates, information requests) across departments; produce a master index with ownership, purpose, channel (letter/email), and case type.

Rationalisation & version control

: Remove duplicates, consolidate variants, and maintain a governed "single source of truth".

Standardise & proof

: Apply house style, UK spelling/grammar, and accessibility best practice; ensure consistent salutations/sign?offs and branding.

Proclaim?ready fields

: Insert appropriate merge fields/placeholders and draft a

Field Map

(e.g., Client.FullName, Matter.Reference, FeeEarner.Initials, NextMilestone.Date, Today.Date).

Acceptance criteria & UAT support

: Prepare test data/checklists; run sample merges; log defects and rework with our Proclaim workflow contractors.

Handover & guidance

: Produce a concise

Template Playbook

covering usage rules, triggers, and ongoing governance.

Related tasks

: Provide broader project support as directed (e.g., light data prep, content clean?up, meeting notes, action tracking).

Skills:



Advanced

MS Word

(styles, templates, fields, content controls, track changes); confident with PDFs. Strong written English and attention to detail; able to proof for tone and clarity. Comfortable working to sprint?style deadlines with multiple stakeholders. Familiar with

mail merge/data mapping

; basic understanding of case/matter data. Desirable: exposure to

Access Legal Proclaim

or similar CMS; light Excel/CSV skills.

Essential Criteria:



Experience creating or maintaining document/email templates in a regulated or professional services environment. Demonstrable ability to manage a structured audit and produce clear documentation. Strong communication skills and discretion handling sensitive client information (GDPR).
