We are seeking a dedicated and detail-oriented Property Administration manger to join our long-standing team. The ideal candidate will play a crucial role in the administration of our property lettings department, ensuring that all operations run smoothly and efficiently. This position requires very strong organisational skills, excellent communication abilities, and a proactive approach to problem-solving.
Responsibilities
Carry out all administration procedures relating to the day to day running of a busy Property Letting and Management agency.
Respond to enquiries from prospective tenants in a timely manner
Register applicants and arrange property viewings for the team.
Process applications through the referencing process, ensuring all actions are responded to promptly.
Provide excellent customer service to clients throughout the renting process
Prepare and manage all pre-tenancy documentation and ensure legal compliance.
Utility Management.
Ensure all relevant documentation such as inventories, renewals etc are added on to the system.
Dealing with day-to-day general enquiries face to face, via the phone, email, WhatsApp and in house messaging system.
Work closely with the lettings negotiator and lettings manager.
When required to assist the property management team - Coordinate and oversee property maintenance, including logging, tracking, and resolving maintenance issues promptly.
Assisting with the coordinate move ins, move outs, inspections (where required), viewings and inventories across the portfolio.
Ensure property compliance such as EICR's, gas safety and EPC certifications on creation of a tenancy.
Ensure full compliance with relevant legislation, including the Landlord and Tenant Act and Housing/Rent Acts, as well as internal company standards.
Keep respective property files and computer records up to date.
Assist the maintenance team during the busy changeover period.
Maintain an up-to-date knowledge of relevant health and safety legislation and best practice.
Assisting the sales manager with sales progression of sold properties when required.
Carry out viewing appointments with prospective tenants in a courteous and friendly manner when required.
Maintain and update systems in line with GDPR and reporting requirements.
Managing office compliance certification and insurance
Administrating and management of general office needs and staff social events
Working closely with the company director and assisting them where required
Contribute to continuous improvement and best practice guidance across the team.
About You:
Previous property management and lettings experience would be very beneficial.
Experience with property management software systems would be beneficial.
Excellent written and verbal communication skills to effectively interact with customers, colleagues, and other stakeholders.
Ability to negotiate in a positive and friendly manner.
Ability to manage multiple tasks effectively in a high-paced environment
Excellent IT knowledge with experience of using Microsoft Office packages.
Confident, articulate, and passionate about delivering great customer service.
Organised, with excellent attention to detail and the ability to meet deadlines and solve problems efficiently and effectively.
Cooperative, professional team player.
Ability to work independently and as part of a team.

Full UK driving licence is essential.
