We are seeking a highly organised and professional
Lettings Administrator
to join our team. The successful candidate will be responsible for providing comprehensive administrative support to ensure the smooth operation of our office. This role offers an excellent opportunity for individuals with strong communication and organisational skills to contribute to a dynamic organisation. The Administrator will play a key part in maintaining efficient office procedures, managing correspondence, and supporting various departments as needed.
Responsibilities:
1. Answer phone calls as first responder and deal with enquiries. Book appraisals, viewings, inspections, maintenance jobs etc from phone calls.
2. Meet and greet people coming into the office with Lettings related enquiries. Register new applicants and new Landlords on the system and try to either match the applicant to a viewing or arrange an appraisal with the Landlord.
3. Process Lettings enquiries on and book viewings from the enquiries. As directed by the Lettings Negotiator/Valuer, pre-call viewings for the next day to make sure that they are attending.
4. Sign up new applicants, ensure that all the checks are done and the referencing process is commenced in line with company procedures. Update systems as necessary.
5. Process maintenance requests by qualifying the problem, liaising with the Landlord, Tenant and Tradesman to agree the work and arrange the timeframe within the expectation of the Landlord and Tenant and process the Tradesman's invoice promptly so that payment can be made in good time. Follow up where necessary to ensure the work has been completed.
6. Arrange Gas certs by instructing the gas engineer and processing the invoices and gas certs in accordance with the legislative timeframe.
7. Arrange for interim inspections to be done on time by calling the Tenants
8. Chase rent arrears
9. Assist the Lettings Negotiator/Valuer with viewings when asked or assist with the Senior Lettings Administrator in the process of her duties.
10. On Saturdays when the Sales Front Desk isn't in, prioritise Sales Enquiries and process the viewings enquiries.
11. Answer sales calls when others in the office are busy and deal with the enquiry or pass on to Sales.
12. Any other job that you are asked to do by the Office Manager.
Qualifications
Proven experience in an administrative or clerical role
Excellent communication skills, both written and verbal
Strong organisational skills with the ability to prioritise tasks effectively
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software
Ability to work independently as well as part of a team in a fast-paced environment
Attention to detail and a proactive approach to problem-solving

Working Hours - Monday to Thursday 09.00 to 17.30, Friday 09.00 to 17.00 and alternate Saturdays 09.00 to 15.00 with a day off in the week to compensate.
