To manage the property lettings, ensuring maximum occupancy and rental levels are achieved and maintained at all times.
To be responsible for resolving any tenant issues in a timely and cost-effective manner to achieve positive outcomes.
To maintain the properties in a good state of repair through organisation of tradesmen.
Key responsibilities:
Tenants:
Effective daily management of lettings, room vacancies and tenants, providing monthly updates to the property owner.
Proactive approach to finding tenants through online and hard copy advertising, as well as networking with local contacts, businesses and relocation agents.
Manage advert responses, providing detailed information about the room, property and location to prospective tenants.
Arrange and conduct viewings for prospective tenants.
Check-ins and Check-outs for new and existing tenants using all appropriate paperwork
Undertake tenant referencing for all new tenants
Achieve maximum possible rental levels.
Be the point of contact for all tenants and respond to all calls, texts and emails, handling all Individual personal requests in a time-efficient manner (max 24 hours).
Encourage a happy and respectful household of tenants to maximise potential of long-term rentals. Ensure adherence to house rules
Maintain a 'firm but fair' relationship with tenants at all times.
Be respectful of tenant's privacy at all times.
Manage difficult tenants when required including section 8/21 and eviction after consultation with the landlord.
Maintenance:
Travel between properties on a regular basis, ensuring that high quality furnishings are being well looked after by tenants and that communal areas of the properties are maintained to Statoncoe standards.
Manage the completion of maintenance issues, co-ordinating cost-effective repairs (in liaison with the property owner when required).
Ensure Health & Safety regulations are followed and adhered to at all times.
Ensure Gas Safety Certificates, PAT testing, fire alarm, emergency lighting and fire extinguisher servicing schedules are in place and implemented.
Conduct regular checks of communal household appliances (including white goods).
Monthly boiler pressure checks
Quarterly house and fire inspections and emergency light testing.
Quarterly meter readings (gas, electricity and water)
Annual replacement of smoke alarm, carbon monoxide and fire door batteries
Assess and make recommendations regarding redecoration of rooms/furniture replacement upon tenant departure. Dress and photograph room for marketing purposes
Ensure cleaning standards are maintained in all properties.
Ensure cleaning materials are available in all properties.
Administration:
Update documentation, systems and processes as and when necessary.
Set up and use of standard template letters, emails etc.
Check contractor invoices to ensure they are correct.
Carry out specific administration duties as and when required.
Maintain accurate records of all rental properties and tenants.
Conduct any banking duties needed, including taking deposits from new tenants and chasing up rent arrears
Any other ad-hoc duties as required by the Property Owner.

The above list of key duties is expected as a minimum requirement of the job. However, due to the nature of the role, you will be expected to display flexibility at all times.

Remain professional and confident, even when dealing with difficult tenants.
Be a strong decision maker.
Show initiative and work proactively.
Recommend any improvements that you feel would benefit the business.
Display good IT skills on Word/Excel.
