JOB DESCRIPTION ROLE : Lettings Administrator RESPONSIBLE FOR : N/A RESPONSIBLE TO : Directors, Senior Operations Manager & Lettings Manager
HOURS OF WORK : 40 hours per week
With additional hours if required in discussion with Line Manager HOLIDAYS : You are entitled to 22 days\' holiday during each holiday. Company Overview

Role Overview
As a pivotal member of our team, the successful candidate will take on a multifaceted role with a primary focus on managing a prestigious portfolio of over 200 residential properties. This includes responsibilities such as marketing properties on various platforms, negotiating tenancy agreements, and ensuring seamless communication between landlords and tenants. The role also involves preparing contracts, referencing potential tenants, and overseeing the entire process of move-ins and move-outs. Moreover, the candidate will play a vital role in compliance with legal requirements and communicating with our team using WeChat, a popular social app. Key Responsibilities

  • Marketing properties on prominent property portals.
  • Effective communication with both tenants and landlords.
  • Negotiating and closing deals.
  • Preparing and overseeing tenancy contracts.
  • Conducting tenant referencing.
  • Reviewing inventories, check-out reports, and mid-term inspections.
  • Coordinating property maintenance.
  • Ensuring compliance with established procedures.
  • Responding to inquiries from prospective tenants.
  • Handling communication with existing tenants regarding leases, renewals, and issues.
  • Managing tenant files and documentation.
  • Overseeing rent collection and addressing any payment issues.
  • Coordinating with accounting or finance departments as necessary.
  • Coordinating repairs and ensuring timely resolution of issues.
  • Organising tenant/landlord bills with utility and billing providers.
  • Collaborating with property managers for effective property management.
  • Providing necessary support to ensure smooth operations.
  • Inputting data into property management systems.
  • Providing excellent customer service to both tenants and property owners.
  • Updating the company website and contributing to marketing efforts.
  • Travel is an essential component of the role.

Experience:
