Overview
We are seeking a dedicated and organised Library Assistant to join our team. This paid position offers an excellent opportunity to support library operations while gaining valuable experience in administrative and customer service roles. The successful candidate will play a vital role in ensuring the smooth functioning of daily library activities, assisting visitors, and maintaining accurate records. Prior office experience and strong computer skills are desirable, along with a keen eye for organisation and attention to detail.
Duties
Assist visitors with locating books and resources, providing friendly and professional service
Manage book check-ins and check-outs using library management software
Handle data entry tasks accurately, including updating records and maintaining inventory lists
Support administrative functions such as filing, photocopying, and scanning documents
Answer phone calls courteously, directing enquiries appropriately and providing information as needed
Organise library materials, ensuring shelves are tidy and resources are correctly labelled
Utilise Microsoft Office programmes, Google Workspace tools, and QuickBooks for various administrative tasks
Support event organisation within the library, including preparing materials and setting up spaces
Maintain cleanliness and organisation of the library environment to ensure a welcoming atmosphere
Qualifications
Previous office or clerical experience is preferred but not essential; training will be provided for specific tasks
Strong computer skills, including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry applications
Good organisational skills with the ability to prioritise tasks effectively
Excellent phone etiquette with clear communication skills
Typing speed of at least 40 words per minute with accuracy
Experience with QuickBooks or similar accounting software is advantageous but not mandatory
Attention to detail and a proactive approach to work responsibilities
Ability to work independently as well as part of a team in a busy environment
