To coordinate and support the logistics function from the office, acting as a key liaison between warehouse operations, transport, and the client. This role ensures accurate tracking, communication, and administration of all inbound and outbound logistics activity. You'll manage planning, reporting, system updates, and client queries to keep the operation running smoothly.
Key Responsibilities
Maintain communication with the Warehouse Supervisor and Transport Department to track daily operational progress.
Coordinate order flow, dispatch schedules, and SLA monitoring to ensure clientexpectations are met.
Respond to client emails professionally and promptly with operational updates or issue resolutions.
Liaise with transport partners and carriers to resolve booking issues or delays.
Maintain accurate records of inbound/outbound movements, returns, and trailer planning.
Manage WMS updates (e.g. Mintsoft, AS400) and ensure orders are correctly processed in the system.
Support incident reporting and escalation processes where operational risks or service delays occur.
Assist with training documentation, process improvements, and communication briefs where needed.
Carry out any other administrative or operational support tasks as required.
About You
Experience in logistics coordination, transport planning, or a similar office-based role.
Excellent written and verbal communication skills -- especially for handling client communication.
Confident in both written and verbal communication with clients, including managing expectations and providing timely updates.
Strong organisational and time management skills.
Able to prioritise tasks effectively and manage multiple streams of work under time pressure.
Comfortable working with warehouse and transport teams to manage daily logistics challenges.
Proficient with Microsoft Office and/or Google Workspace.
Familiarity with WMS platforms such as Mintsoft or AS400 (training can be provided).
Accuracy is key -- especially when entering data, tracking orders, or managing returns and carrier schedules.
Able to work independently and maintain attention to detail in a fast-pacedenvironment.
A proactive mindset and willingness to support wider operational goals.
Desirable
Previous experience in a 3PL, eCommerce, or multi-client warehouse environment.
Basic understanding of warehouse processes (goods-in, pick/pack, returns).
Experience using booking portals and managing carrier communication.
