We are looking for a proactive Logistics Co-ordinator to join our busy logistics team - someone with exceptional organisational skills, a sharp eye for detail, and a positive, can-do attitude. You will play a key role in keeping our operations running smoothly and supporting the installation and production teams across multiple projects.
The Role
This is a varied and fast-paced position that requires excellent multitasking and communication skills. You will be working closely with our Associate Director of Logistics, Production Managers, and Project Managers to ensure the seamless flow of information, goods, and people. You will help coordinate installations, manage schedules, handle export documentation, and support the administration of our commercial operations.
Key Responsibilities
Provide support to the Associate Director of Logistics and Production Managers across our two commercial facilities.
Assist Project Managers with project-related administrative tasks as required.
Arrange installation teams and manage scheduling, including providing cover during holiday periods.
Help manage the administration of installations, removals, and maintenance of retail displays.
Ensure all required documentation is approved, uploaded to our communication portals, and shared with relevant teams.
Work with the H&S/Compliance Manager to ensure RAMS and Method Statements are completed.
Organise the movement of goods locally, nationally, and internationally.
Manage invoicing and customs documentation for export deliveries.
Book permits, hotels, flights, Eurotunnel crossings, and other travel needs for installation teams.
Assist with the creation of installation instruction guides (typically in PowerPoint).
Raise purchase orders using SAGE job cost software.
Support fleet management - scheduling vehicle safety checks, MOTs, tax renewals, and breakdown cover.
Produce goods labels, manage stock levels, and order consumables used across our commercial units.
(Appropriate training and templates will be provided where needed.)
Skills & Experience
Proven experience in a complex administrative role, ideally with project coordination or scheduling responsibilities.
Solid understanding of logistics processes and freight documentation.
Excellent PC literacy, particularly in MS Office (especially Excel).
Strong organisational skills, with exceptional attention to detail and the ability to adapt to change.
Excellent written and verbal communication skills.
A positive, proactive attitude with initiative and tenacity in resolving challenges.
Full and valid UK driving licence (required).
Desirable (Not Essential)
Forklift licence
First Aid or Fire Safety certification
Workplace Health & Safety, Manual Handling, or COSHH training
(Training can be provided where appropriate.)
