The Manager, Workplace & Facilities is a critical role to Appian EMEA; you\'ll provide administrative, workplace, and facilities support for designated offices and/or regions as required. You\'ll have management of team members with accountability and oversight of their responsibilities.

This role serves as an intermediary between Appian employees, departments, customers, prospects, partners, suppliers and third parties, you will collaborate with teams throughout the organisation in many different locations.

The ideal candidate will be a detail-oriented self-starter with strong communication and interpersonal skills, able to communicate effectively with individuals at all levels of the organisation.

This is a full time, office based (5 days) position at our London Office but will be supporting other EMEA offices (with occasional travel).

Responsibilities:

  • Will directly manage other Workplace & Facilities team members in EMEA
  • Maintains accurate records within the EMEA leased office space portfolio database. Oversees maintenance of accurate records and database of badging, parking, and any other building access requirements for employees in EMEA. Creation and distribution of physical badges and passes to employees in London. Maintain and produce reporting from internal and external attendance and security systems.
  • Answer and manage incoming communications. Management and Coordination of outgoing and incoming London Office mail and deliveries, including the overseeing of creation of shipping labels.
  • Assists Real Estate & Facilities Management with ensuring all proper tasks are completed in order to open or close EMEA short-term office spaces.
  • Oversees booking of remote daily workspaces and conference rooms for EMEA. Reviewing invoicing for remote bookings.
  • Supervises the London office day-to-day operations. Supervises the maintenance and alteration of the London office and its equipment, as well as layout, arrangement, and housekeeping of office facilities. Ensures cleanliness and stocking of supplies. Local liaison with the building landlord.
  • Expense management and tracking of the office and workplace allocated budget. Coordinate and negotiate with external suppliers and third parties, for optimum terms on work, supplies, rates and all other expenditures
  • Oversees maintenance of London physical workstation/office-numbering system, database, floor plans and seating charts using our facilities management tools/software and CAD software.
  • Collaborate with other Workplace & Facilities team members on driving and supporting Appian initiatives. Under the direction of RE & Facilities leadership, coordination and implementation of renovations, improvements, office moves, and other facilities related projects.
  • Oversees on-boarding & off-boarding of employees.
  • Oversees the purchasing of office supplies and misc furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
  • Oversee the process of receiving visitors in London, providing the utmost level of hospitality and any required protocols.
  • Assist with planning, coordination, expense management, and running of events.
  • Assist with development and implementation of sustainability initiatives with EMEA facilities personnel.
  • Acts as a senior member of the Safety committee and emergency building contact. Will assist with development, implementation and monitoring of all EMEA Health & Safety Plans and all associated records and databases.
  • Reasonable manual handling as required for the proper performance of the role
Preferred Education & Experience:
  • 7+ years of experience with Workplace and Facilities operations or in a relevant related position
  • Global real estate portfolio experience preferred. Multi city domestic required.
  • Must be able to remain calm, pleasant, and professional while experiencing frequent interruptions; must work well under pressure
  • Working knowledge on London Health & Safety protocols and requirements
  • A minimum of a BS/BA degree
  • Must lead with a strong customer service approach
Preferred Qualifications:
  • Proficient in Microsoft Suite and Google Applications
  • Experience in managing multiple databases and associated reporting
  • Working knowledge of mail processes such as Federal Express and UPS.
  • Good planning and organisational skills.
  • Well-developed interpersonal and communication skills.
  • Ability to manage or direct staff, vendors and contractors.
  • Ability to negotiate effectively.
