Purpose of the role
The Marketing and Administration Assistant is a dual-capacity hybrid position designed to provide efficient and professional support to BMA Law in both client onboarding and marketing delivery five days per week (at least two days office based). This role will act as the first point of contact for client enquiries, ensuring a high-quality, consistent, and client-focused experience, while also coordinating and executing key marketing activities to support the firm's strategic growth objectives. Working closely with the legal and management teams, the role will contribute to operational excellence, client satisfaction, and targeted promotional campaigns.
Key responsibilities:
Administrative Support
Act as the first point of contact for incoming telephone calls 5 days per week, emails, and website enquiries, providing a professional and timely response.
Manage the client onboarding process, including conducting conflict checks and Anti-Money Laundering (AML) verification.
Coordinate with lawyers to ensure smooth matter handovers and accurate case initiation.
Maintain accurate and up-to-date records within the firm's case management systems.
Post-room duties (posting and collecting post for fee earners)Printing, scanning and photocopying for fee earners
Marketing Support
Support the delivery of marketing activities including social media posts, newsletters, blogs, webinars, and event coordination.
Assist in planning and executing monthly webinars, including liaising with speakers, managing logistics, and supporting live events.
Maintain and monitor marketing merchandise and promotional materials.
Key tasks:
Respond promptly and professionally to all inbound calls and enquiries.
Conduct and log conflict checks and AML verifications.
Open new matters in the case management system following firm protocols.
Schedule and administer webinars prepared by the fee earner, including post-event follow-up and content repurposing.
Draft and send newsletters and marketing emails.
Publish social media content in line with agreed marketing calendars.
Update and maintain contact databases and marketing lists.
Liaise with stakeholders for event coordination.
Support the preparation of quarterly Wills Clinics and other practice area initiatives.
Providing post-room assistance for fee earners at least 2 days per week (posting and collecting post for fee earners).
Printing, scanning and photocopying for fee earners at least 2 days per week.

Key skills and qualifications:
Essential Skills and Experience
Previous administrative experience in a professional services environment.
Proven ability to handle client-facing communications with professionalism and discretion.
Strong organisational skills with the ability to manage multiple priorities and deadlines.
Experience using case management systems.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Excellent written and verbal communication skills.
Desirable Skills and Experience
Experience within a legal or regulated professional services sector.
Familiarity with social media scheduling tools and webinar platforms.
Knowledge of AML and conflict check processes.
Basic skills in design or content creation.
