JOB TITLE MEDICAL ADMINISTRATOR



RESPONSIBLE TO ADMINISTRATION SUPERVISOR / PRACTICE MANAGER



JOB PURPOSE



To work efficiently with the multidisciplinary team within the Belfast Skin Clinic to provide an excellent administration service to all patients, visitors, staff and visiting consultants.

To carefully and accurately communicate with all new and existing patients to ensure smooth patient pathway.

To ensure compliance with RQIA minimum standards and independent healthcare regulations (NI 2005).

Please note that this role also includes Reception cover on a rotational basis.

MAIN DUTIES AND RESPONSIBILITIES



Meet and greet all patients and visitors to the facility in a welcoming and friendly manner ensuring all patients / visitors are signed in appropriately

Deal with all telephone enquiries in a professional, efficient manner and redirect all calls to the appropriate person where required

Provide appropriate accurate information to all patient enquiries in relation to clinic services

Maintain all patient records, results, correspondence and log all communications onto the clinic's computerised system E-clinic

Scanning all patient documentation with accuracy onto E-clinic

Book new patient consultations, review and dressing appointments for the consultants and nurses and rescheduling appointments as required

Strictly adhere to all protocals and timelines in relation to the processing of Red Flag Waiting List Trust referrals

Liaise in a professional manner with GPs and other external Healthcare Providers

Cover for and assist other staff members as required

Complete any other duties as assigned by the Management Team

Participate in staff meetings in a positive and constructive way

Be willing to undertake further additional or specific training as requested

Maintain personal and professional responsibility to report abuse or poor practice to Management to ensure a safe environment for any patient, visitor or staff member

Equipment



Ensure any broken or faulty equipment is removed from use and marked as out of action. Notify Management as soon as possible

Maintain, monitor, control and order stock as directed, reporting any deficits required urgently

Maintain general tidiness and cleanliness of all areas

Maintain cost effective use of all supplies and avoid unnecessary waste

Report any incidents, breaches of misuse of equipment or incorrect waste disposal and document accurately

Information Governance



Ensure all information is accurate and handled legally, securely, efficiently and effectively in line with Data Protection legislation

Respect the confidentiality of any information encountered

The unauthorised use or disclosure of information will be considered a serious disciplinary offence

Health and Safety



Take responsibility for your own Health and Safety and that of others who may be affected by your acts or omissions

Ensure statutory regulations for Health and Safety, codes of practice, clinic policies and local rules are adhered to

Report any incidents or near misses according to clinic policy and HSE requirements

QUALIFICATIONS



MINIMUM 5 GCSE'S OR EQUIVALENT (INCLUDING MATHS AND ENGLISH)

EXPERIENCE



AT LEAST 2 YEARS RECENT EXPERIENCE IN A BUSY MEDICAL HEALTHCARE RECEPTIONIST/ADMIN POSITION DEALING WITH THE PUBLIC

EXPERIENCE IN A PRIVATE HEALTHCARE FACILITY, WORKING KNOWLEDGE OF WAITING LIST INITIATIVE CLINICS AND GP OUT OF HOURS CONSIDERED AN ADVANTAGE

PERSONAL QUALITIES



ABLE TO DEMONSTRATE EXCELLENT VERBAL AND WRITTEN COMMUNICATION,

TEAM WORKER WITH A COLLABORATIVE APPROACH, WELL ORGANISED AND EXCELLENT TIME KEEPER, ABILITY TO USE OWN INITIATIVE, MOTIVATED,

UNDERSTANDING OF ACCOUNTABILITY, ENTHUSIASTIC AND COMMITTED
