Job Description

We are looking for an enthusiastic individual who are passionate about helping people. We are a big team consisting of 13 reception staff, 6 Administrators, Management team of 3, 4 GP Partners, 7 Salaried GPs, & 5 nurses. We also have an amazing extended team of Pharmacists, Paramedics, Physios and Mental Health Practitioners.



In this role no day is the same, you are here to be the face of the practice, to help our patients including our most vulnerable and to be a valued member of the team.



We work across 2 sites and the new candidate will be expected to be able to get to both, Barwell Medical Centre and Hollycroft Medical Centre. Hollycroft has recently had a renovation with the addition of 2 clinical rooms leaving it an 8 room medical centre. Barwell has a brand-new site, this now consists of 13 clinical rooms and a minor surgery suite.



Shifts are run at 6 hours a day, 7:30 - 13:30 or 12:30 - 18:30, these are set on a rota system basis. Please be aware that both sets of shifts need to be able to be worked prior to applying for this position.



Starting salary is the National Living Wage with the addition of the NHS pension, 5 weeks annual leave including bank holidays.



JOB RESPONSIBILITIES:

Ensure an effective and efficient reception service is provided to all patients and any other visitors to the practice

Ensure your manner is professional, polite, and respectful when dealing with patients, co-workers and contractors. Signposting patients to the appropriate service.

Deal with all general enquires, explaining procedures and make new and follow up appointments

Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner following the practice appointment systems

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed

Receive and make telephone calls as required. Ensure accuracy of the details from the caller

Create tasks via SystmOne if required and action tasks sent by other users or services

Enter requests for home visits on to the system and ensure careful recordings of details and where necessary refer to the duty doctor

Action prescriptions requests and ensure that repeat prescriptions are ready for collection by the patient within 48 hours, either on the computer or manually

Advise patients of relevant non NHS charges if required

Enter and record patient information on to the system as required

Patient notes and correspondence are kept in alphabetical order and tagging to be completed before filing and after summarising

Have a clear understanding of the opening and closing procedures

Ensure all mail is stamped and put in for scanning

Produce and send letters for various checks, appointments and test results following practice guidelines

Ensure health and safety guidelines are adhered to and any incident is reported

Administration:

To have a knowledge of the practice procedures and protocols

To complete tasks and notifications on SystmOne in a timely manner and accurate details recorded

Administration tasks and notifications to be completed across both sites

Ensure registrations of new patients are actioned in the correct time frame

Process the repeat dispensing system within the surgery, ensuring all checks are carried out and patient bathes of prescriptions printed and available in a timely manner

Carry out any clinical and administration audits as required and complete any work generated as a result

Ensure waiting lists are kept up to date and patient appointments are booked in within the correct time frame

Ensure patient notes are scanned, summarised and filed in a timely manner and within line with the practice procedure

Support and work cross functionally between both reception and administration with a proactive manner

To be able to manage and plan your time effectively and prioritise between Reception and Administration

Complete specific responsibilities in a timely and effective manner, meeting deadlines where applicable and maintaining training needs and updates to complete

To complete any other tasks you may be asked to carry out to improve patient care and outcome

They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential

Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

The post-holder will participate in any training programme implemented by the practice as part of this employment, such training to include:

Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development

The post-holder will;

Apply practice policies, standards and guidance

Discuss with other members of the team how the policies, standards and guidelines will affect own work

Participate in audit where appropriate
