MAIN PURPOSE OF POST: To provide customer focused reception service for the practice and its patients. To provide an operational support service to all clinical and practice staff
Your role is to provide a service of high quality for all of our patients. To carry out daily reception duties as detailed below. To provide an operational support service to all clinical and practice staff, ensuring good quality service delivery, confidentiality and patient satisfaction is a priority. Following practice protocols and procedures
Main Duties
Reception
Greet/acknowledge any patients requiring assistance upon arrival
Book new and follow up appointments
Receive all telephone calls and deal with enquiries
Manage any request or queries received via SystmOne, the NHS App and the practice email, daily on a regular basis.
Diversion of the telephone system when required
Receive, document and forward requests for home visits and patient queries, to the relevant staff member
To contact patients if and when necessary
Deal with requests for repeat and acute prescriptions
Answer general enquiries & explain practice procedures
Register new patients
Receive specimens and samples from patients
Ensure the Doctor receives all paper and electronic prescriptions for signing
Distribute all patient correspondence ie clinic letters, reports, paper or electronic to the relevant member of staff.
Provide support on the practice's procedures, including the computer system, to locum staff as required
Ensure that the reception area, waiting room are tidied at the end of each day/session
Reception/Administration
Open, date stamp and distribute post appropriately.
Send and receive notifications/emails in connection with work tasks
Scan correspondence and enter the correct Codes and ensure any medication changes are highlighted for the GP's, Summarise paper records onto the IT system
Assist with the recall system in advising patients of tests due
Shredding of confidential waste paper documents

Health and Safety at work
To ensure the adoption of safe work practices consistent with Health and
Safety. The post holder must not, by act or omission, wilfully endanger themselves or others whilst at work. All accidents and untoward occurrences must be reported and potential hazards identified.
The post holder must be responsible for all practice property and the reporting of all potential or actual breaches of security.
The post holder must attend and complete the full induction programme and appropriate mandatory training relevant to job role
The practice operates a non-smoking policy.

The post holder will participate in performance management systems locally

All staff are expected to adhere to infection control policy and procedures as appropriate to their role and responsibilities in their work setting.
Safeguarding Children and Vulnerable Adults
All staff are expected to adhere to the practice policies and procedures in relation to Safeguarding Children and Vulnerable Adults and to undertake the appropriate level of mandatory training in this area.
Standards of Business - Declaration of Interest
Staff must not engage in outside employment which may conflict with their work or be detrimental to it. Staff who are concerned that they may be risking a conflict of interest, should raise the matter with the practice manager, who will be responsible for judging whether a conflict has arisen.
Staff must ensure that they are not placed in a position which risks or appears to risk conflict between their private interests and their duties and to declare any relevant interests either on starting work or on acquisition of the interest.
Data Protection GDPR
The Data Protection Act 1998 requires that all organisations processing personal data keep this information safely and securely. The practice is required to ensure that it complies fully with all its legal obligations in this area, including data protection. The post holder must be responsible for data protection and report all potential or actual breaches of the Data Protection Act.
Due to the Practice's commitment to continuous improvement, it is likely that the post will evolve over time. These duties will be subject to regular appraisal and any amendments will be made in consultation and agreement with the post holder.
