A further exciting opportunity has arisen at the Greenbank Medical Practice for a committed, enthusiastic individual to join our thriving 10,500 patient practice working 30 hours per week, Monday to Friday, 3 mornings and 2 afternoons. Hours of work will be 8am-2pm and 12.30pm-6.30pm.

The practice is easily accessible by public transport and has onsite parking.

Your main duties will be to receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the Practice team in a teamwork orientated manner and project a positive, courteous and friendly image to patients and other visitors, either in person or via the telephone

Duties and Responsibilities:



Administration

To have a thorough knowledge of all Practice procedures. To work in accordance of written protocols and procedures laid out in the Staff Handbook. Fax and photocopy as requested Open post, stamp, sort and distribute as appropriate Amalgamate new patient records and ensure that all patient records are maintained in the order detailed in the Staff Handbook. Book ambulances when necessary and document details in the appropriate manner. Patient notes and correspondence:
o Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to

o Ensure correspondence, reports, results etc are scanned/filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.

o Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.

o Ensure records are updated when required.

Reception

Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice Deal with all general enquiries, explain procedures and make new and follow-up appointments. Process appointment requests for appointments from patients by telephone and in person. Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. Enter requests for home visits, ensuring careful recording of all relevant details and where necessary refer to Doctor. Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually. Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same. Change doctors' nameplates on consulting room door and in the waiting room as required.
Computer

Ensure that all new patients are registered onto the computer system promptly and accurately Process patients change of address - computer data and medical records (have knowledge of Practice area). Process repeat prescription requests in accordance with Practice guidelines. Enter patient information on to the computer as required. Liaise with EMIS Helpdesk when needed
Telephone

Have working knowledge of telephone/answering machine system. Ensure that the telephone system is operational at the beginning of each day and activate the out of hours telephone facilities when required. Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
Other Tasks

Premises: Open up premises at the start of the day when first to arrive and make all necessary preparations to receive patients. When last to leave at the end of the day, ensure that the area is totally secured, and internal lights are off. Ensure the kitchen area is kept clean and tidy and clear and tidy the waiting room in turn with other staff. Provide cover for holidays and sickness absence of colleagues. Undertake any other additional duties appropriate to the post as requested by the Practice Manager or the Partners.

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately In the performance of the duties outlined in this , the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:

Using personal security systems within the workplace according to Practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified

QUALIFICATIONS & EXPERIENCE



ESSENTIAL

Previous working experience within reception/administration environment.
DESIRABLE

Previous working experience within GP Practice Previous use of EMIS WEB clinical system.

KNOWLEDGE



ESSENTIAL

Knowledge of computerised information systems. Dealing with confidential information.
DESIRABLE

Expertise within GP practice underpinned by theory.



Knowledge of GP computerised systems e.g. Emis or Vision Knowledge of new GMS contract Contract and knowledge of Quality and Outcomes Framework

SKILLS



ESSENTIAL

Good Interpersonal Skills Good written and verbal communication skills. Able to work unsupervised Good communications skills demonstrating empathy, understanding and reassurance. Planning and organisational skills
DESIRABLE

IT Skills Able to prioritise own workload

EXPERIENCE


ESSENTIAL

Working as part of a team. Able to work unsupervised and use own initiative. Knowledge of computerised information systems. Dealing with confidential information.

Working knowledge of different disciplines working within a Primary Care team or general practice setting Experience of working in general practice

OTHER



Shifts will be 8.00am-2.00pm and 12.30pm-6.30pm (2 afternoon shifts per week) Willing to undertake the training required to carry out the job. Fit to carry out the duties of the post after reasonable adjustment under the terms of the Disability Discrimination Act of 1995 have been made. Ensure practice rules & procedures are followed as per practice protocols.
