Medical Records Administrator

Main Purpose of post:

To maintain patient record systems (electronic & paper)

Responsible to:

Clinical Administration Manager

Hours: 30 hours per week over five days.



Job description



Principal duties and responsibilities:

Registration of patients Check and process paperwork for new patients Carry out electronic registration links daily and as required Prepare record folders on registration and file historical medical records on receipt Summarise previous medical history and enter information on computer record Process paperwork for patients deregistering from the practice. Updating patient records Import and process laboratory, radiology, and results of other investigations Process incoming hospital letters and direct to the appropriate clinician Download and process incoming reports from the Out Of Hours and ambulance services Liaise with hospital departments regarding urgent and/or missing results Providing other healthcare providers with key information when necessary. Workflow of scanned documents Scanning incoming paperwork File to the patient record, apply the appropriate code, and forward to the relevant clinician to respond Process returned documents and action further if requested. Patient enquiries Answer calls from patients regarding test results and explain next steps, as outlined by their GP Process patient and third-party requests for copies of medical records, including photocopying of patient notes, in line with strict practice protocols and the GDPR Provide secretarial cover - processing referrals and answering secretarial queries Any other delegated duties considered appropriate to the post.

Person specification



Essential requirements:

GCSE L4 (C) or above in Maths and English Language or equivalent Minimum 2 years' experience of administration in a busy office Some experience of telephone systems Clear and sensitive telephone manner First rate IT skills and the ability to learn new, complex software quickly Excellent knowledge of Office 365 and other web-based applications Experience of working with electronic record management systems, or similar Close attention to detail Basic knowledge of scanning Some experience of digital and physical filing systems Respect for confidentiality Ability to give articulate, succinct explanations in writing and verbally Calm when under pressure Strong communication skills at all levels Flexible, friendly, and quick to integrate into our existing team Able to work independently, but know when to seek support A respect for sticking to protocols Ability to manage own time effectively Resourceful, with good common sense
Desirable attributes:

Evidence of post-16 education and training Previous experience in general practice Knowledge of medical terminology A breadth of experience with more complex computer applications Previous experience of scanning

Pay: 12.21 per hour
