We are seeking a detail-oriented and organised Medical Secretary to join our healthcare team. The ideal candidate will possess strong administrative skills and a keen understanding of office operations within a medical setting. This role is crucial in ensuring the smooth functioning of our practice, providing essential support to both medical staff and patients.
Main Responsibilities
Provide full secretarial support to clinical staff and the management team. Primarily this will involve processing requests from clinical staff for patient referral in a timely and accurate manner. This will also include dealing with other queries/requests for information on behalf of clinical staff and the management team.
The processing of ERS referrals & dealing with queries relating to referrals
Chasing hospital results/appointments/queries as appropriate
Arrange examinations on behalf of external organisations, take responsibility of all medical/insurance forms, reports ensuring that appropriate patient consent is provided and recorded
Ensure all medical requests are logged and allocate to appropriate doctors and prepare medical reports/insurance reports/SARs
Scanning of all completed medical reports, insurance requests, Subject Access Requests and insurance accurate recording on medical report fee tracker
Ensuring chargeable medical forms, private examinations are invoiced appropriately on Xero and logged using the medical reports tracker
To monitor and maintain our medical report fee tracker/Xero for unpaid invoices
Responsible for collection and recording of all private fees
Liaising with our clinicians for availability on Minor Surgery dates and ensure clinics are added to Emis
Manage cervical smear failsafe spreadsheet
Manage DNA letters, Retinal Screening, Breast Screening & Inhealth DNAs via Docman
Assisting with patient queries relating to Proxy Access
Order and maintain stocks from our ICB and other organisations including medical certificates, death certificates, and prescription paper
Monitoring and action the secretarial email inbox and action appropriately
Monitoring and action the Accurx secretarial inbox with tasks
Mintor and action patient notes relating to patient related queries
Summarising notes
Coding correspondence including extended hours and HUB
Managing Maternity discharge summaries - matching with neonatal discharge summaries and ensuring babies are registered and booked for 8 weeks check.
Registering new patients, resolving queries relating to patient registrations on the portal
Registering Minor Surgery patients (external referrals)
Manage registrations/ GP2GP/referral management through workflow tasks
Monitor & Action spreadsheets for Fast Track referrals, Advice & Guidance & deductions
Liaising with patients regarding GP link queries
Participate in practice audits and projects as required
Accurate Minute taking
Supporting the reception Team with calls/covering reception during period of sickness/annual leave
Requirements
Previous office experience is essential, preferably within a healthcare environment.
Administrative experience that demonstrates strong organisational skills and attention to detail.
Proficient in using office software applications, including word processing and spreadsheets.
Excellent communication skills, both verbal and written, with a professional telephone manner.
Ability to work independently as well as part of a team in a fast-paced environment.
