Job Summary
Responsible for carrying out a broad range of secretarial and administrative tasks, providing comprehensive support to the extended teams. Responsibilities include, but are not limited to, timely processing/actioning of information in both electronic and paper formats, effective communication with team members and external agencies such as secondary care and community service providers, and adherence to current policies. A high degree of confidentiality, sensitivity, discretion and tact is required in this role.
Main Duties
The post holder will be required to undertake
Typing/ Audiotyping letters, reports and associated documentation as required
Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.
Manage all enquires in an effective manner
Maintain an accurate referrals database
Action all incoming tasks.
Maintaining accurate patient's healthcare records.
Process referrals using the electronic referral system (ERS) and managing worklists.
Process requests for information/ non- NHS services i.e. SAR, insurance / solicitor's letters and DVLA forms etc.
Read code data on SystmOne where required.
Answer incoming phone calls and dealing with the callers request appropriately.
Managing online requests and completing them in timely manner.
Manage all administrative queries as necessary.
Support all clinical staff with general administrative tasks as requested
Liaise with medical representatives and help with arranging preparations as appropriate.
Any other duties that may be reasonably expected of the post holder for the provision of services as directed by the General Manager.
