Job Title: Personal Assistant / Operations Support



Salary: 25,000 - 26,000.00 per annum depending on experience

2. JOB PURPOSE



To provide a good quality, professional secretarial support service. To provide support to the private practices of Gorav Datta To provide support in practice marketing aimed at increasing business To provide support in administration and operations for Standard Health Ltd,

3. KEY WORKING RELATIONSHIPS



Medical Secretaries at the Spire Southampton Hospital Consultants Members of the medical team Patients and their relatives GPs Management team in Dorset ICB Clerical and Clinical staff at Sarum Road Hospital Specialist nurses Nursing staff and other ward staff Other members of the multi-professional clinical team Health Records & IM&T Departments Administration staff at Dorset Healthcare Foundation Trust

4. KEY RESULT AREAS/PRINCIPAL DUTIES AND RESPONSIBILITIES



Inpatient & outpatient management



To assist in monitoring the in-patient and day case waiting list, escalating any potential issues with the consultant and managing patient expectations with regards to their pathway To liaise with relevant hospital staff to monitor and adhere waiting times for NHS patients in line with national targets and be instrumental in ensuring patient pathways are progressed appropriately.

Service delivery and improvement



To provide a full and efficient secretarial service to consultants, including but not limited to; audio typing, diary management and management of accounts relating to patient treatment (billing and reconciliation) To coordinate and organise the attendance of patients to outpatient, inpatient & day case appointments in line with previously agreed arrangements To work with the team to ensure adequate cover is in place during periods of leave. To maintain complete and accurate medical records ensuring copies of all relevant documents and shared with Patients, GPs, Physiotherapists and other Hospital teams as appropriate. To assist other members of the admin team in the achievement of a quality service. To contribute fully to any service improvements and projects related to job role.

Communication



To communicate with patients and colleagues in a courteous, professional and timely manner at all times. To deal with all day-to-day correspondence and initiate appropriate responses in order to provide patients, staff and other parties with required information in a friendly and professional manner. To manage telephone calls and email communications in a courteous and timely manner ensuring any necessary concerns are escalated as appropriate. To liaise with appropriate personnel in the multidisciplinary team to gather and co-ordinate patient information so that it is accessible in a timely manner. To ensure patients are kept informed about their treatment plan including associated costs To participate in team and directorate meetings as required.

Governance



To undertake training as required to maintain competency and comply with relevant policies.

Resource Management



To monitor and maintain use of supplies and ensure this is done efficiently and cost effectively in line with the needs of the service.

Additional Responsibilities



The post holder may be required to mentor and support new starters and other team members as required.

Provision of relevant patient information to allow for accurate data capture and reporting

Job Type: Full-time

Pay: 25,000.00-26,000.00 per year
