To deal with patient enquiries, exercising initiative regarding action necessary following GPs/ACPs requests.
To prioritise all correspondence as per clinical need following the surgery protocol
To type from audio dictations all letters required using Lexacom dictation software
To communicate and liaise between all disciplines of staff
To help and support colleagues as required, including cover for annual leave and sickness
To use the SystmOne and other IT systems on a daily basis to process and save all correspondence into the patient's medical records
To use the necessary referral software and templates required to process referrals
To use "Word" software for any miscellaneous typing as required
Enter onto the practice clinical system read codes and templates where appropriate and to log all referrals
Arrange appointments as requested and take messages when appropriate. Deal with any telephone enquiries and always answer the telephone with a polite and professional manner
Perform any reasonable administrative tasks as requested
Induct and train new members of the team including GP registrars in the referral pathways and processes
Report on and near misses and significant events.
COMMUNICATION
Medical Secretary will:
Communicate effectively, promptly and courteously with patients, carers and relatives.
Use the most expedient and appropriate means to communicate information to other team members.
Communicate appropriately and accurately with colleagues outside the practice and with due reference to the common law of confidentiality and the GDPR/data protection regulations.
Immediately inform a member of staff if a patient appears ill or if their behaviour causes concern (including correct use of Emergency/Collapse/Security protocols).
Be aware of Child Protection issues and communicate concerns in accordance with practice protocol.
DECISION-MAKING CONTRIBUTIONMedical Secretary will attend and contribute to meetings in the practice (staff meetings, planning meetings, significant event, and special projects). This will include contributing to the development and review of practice protocols.
