Overview


The Medicines Management administrator is a unique role that links the care coordinator and clinical teams. They will work closely with the pharmacy team within the practice to ensure that patients receive their medications in a safe and timely manner.

This role requires some healthcare experience alongside a passion for providing outstanding patient care and offers a great opportunity to expand healthcare and clinical knowledge, a willingness to learn is essential.

The right candidate will possess exceptional organisational and prioritisation skills combined with top-level attention to detail. The ability to problem-solve and use effective communication in a fast-paced environment is key.

They will be required to work both independently and as part of a team to deliver shared objectives.

Key Tasks & Responsibilities



Duties will include co-ordinating and preparing repeat prescriptions for our patients, data entry onto patient records, EPS and patient and pharmacy liaison. The tasks and responsibilities to be undertaken may include, but are not limited to the following:

Work with our multi-disciplinary team to provide a responsive prescription service.

Delivering the technical aspects of prescription preparation to ensure the safe prescribing of medicines.

Delivering an efficient prescription service and ensuring service targets are met and errors are minimised.

Synchronise repeat medication.

Comply with legal and professional requirements, accepted guidance on professional practice, and with safe systems of work for re-authorising repeat prescriptions.

Run analysis reports, partake in safety searches and gather information from a variety of sources for continuous improvement, safe management of repeat prescriptions, and to co-ordinate medication reviews or changes.

Liaise with community pharmacies on the supply of prescribed drugs, alert our clinicians of any supply issues and forward information on the recommended alternatives.

Follow all appropriate PCN Pharmacy team and practice protocols / Standard Operating procedures.

Expedite

urgent prescriptions to help ensure a safe and responsive service for our patients.

Respond to enquiries from patients, carers, secretaries, NHS administrators, consultants or the practice team in a courteous, timely and efficient manner, by SMS, telephone, letter and email, and maintain precise records of the communications in patient record.

Provide an efficient administration service as part of a team to ensure the smooth running of the prescription support to our clinicians.

Ensure patient confidentiality is maintained at all times.

Maintain accurate patient records promptly - entering data in accordance with reporting requirements.

Keep up to date with the local formulary and the National restricted drugs list.

Bring any queries to the attention of the relevant clinician, to include under and over usage.

Issue nursing supplies - e.g., dressings, appliances, catheters - if advised by a suitably trained nurse / member of the in-house Pharmacy team.

Liaise with external Pharmacy services (Community Pharmacies / Secondary care), care homes and patients as necessary to resolve queries.

Build good working relationships with local Community Pharmacies to help enable our prescription service.

Check emails regularly and deal with them appropriately.

Create 'tasks' and assist clinicians in managing document workflow relating to prescriptions.

Escalate any problems to your line manager/operations manager that you need support with.

Undertake training as requested to support safe and effective services for the Practice.

Carry out any other duties as may reasonably be requested by the prescribing team lead or operations manager.

Job Type: Part-time

Pay: 12.65 per hour

Expected hours: 23 per week
