We have an exciting opportunity for a membership assistant to join this organisation to assist with the support of the membership programme.

Position: Membership Assistant

Location: Guildford (hybrid working available)

Hours: Part Time (16.5 hours a week \xe2\x80\x93 Job Share)

Salary: \xc2\xa320,475 - \xc2\xa323,400 per annum (\xc2\xa39,009 - \xc2\xa310,296 per annum pro rata)

Contract: Permanent

Closing Date: 4th August 2023 5 pm

Interview: Week commencing 14th August 2023

The Role

The Membership Assistant will deliver excellent customer care to members and provide efficient and accurate administrative support for the successful day-to-day running of the membership programme. The programme comprises four membership schemes: Friends, Patrons, Exhibition Circle and Adopt a Watts.

In this diverse role, the Membership Assistant will accurately process all membership-related administration, handle all general queries, and ensure that the Customer Relationship Management system is maintained to the highest standards. The Assistant will also assist with member events.

Main areas of responsibility include:

  • Use of the Customer Relationship Management (CRM) system (Microsoft Dynamics) to capture and update donor and key contact details, produce renewals, log subscription payments, and other activities as required
  • Create and process new subscriptions on the CRM
  • Send out welcome packs, thank you letters, and membership cards
  • Secure and process renewals through writing renewal reminders and notifying and processing regular payments (direct debits and standing orders)
  • Assist with \xe2\x80\x98Friends First Views\xe2\x80\x99 of exhibitions and Friends and Volunteers Christmas Party
  • Support the Development team with varying administrative tasks
About You

As Membership Assistant, you will be comfortable balancing competing priorities, organised, efficient and flexible. You will also be collaborative, proactive and a natural communicator.

Attention to detail is essential for this role, as well as excellent computer skills including databases and spreadsheets.

  • General contact with members to ensure excellent customer service.
  • Identifies a problem and escalates it to the Membership Manager as appropriate.
