Location:

Millbrook Depot (Southampton, Hampshire)


Job Type:

permanent, full time


Hours:

Monday to Friday, 37.5 hours


Salary:

28,000 to 30,000 per annum (depending upon experience)

About the role:





Due to continued growth and development, we are now looking for customer focused people to join us in our Utility Division, working on our Southern Water contract service to deliver real and effective solutions to waste-water network and drainage problems.



Project Planning & Development:


+ Ensure that the plans are kept up to date throughout the project lifecycle, including modifications and changes as the project progresses.

Coordination & Scheduling:

+ Work in close collaboration with supervisors, site teams, subcontractors, and contractors to create accurate, realistic schedules and timelines for manhole cover and frame works.
+ Ensure that schedules are regularly reviewed, updated, and communicated to all stakeholders to ensure alignment and to proactively identify potential risks or delays.
+ Manage the allocation of resources and the scheduling of works to optimise efficience and ensure that all tasks are completed on time.

Material, Resource, and Equipment Management:

+ Coordinate with supervisors to ensure the correct equipment is obtained for each work order.
+ Manage site logistics to ensure that all necessary resources are available on-site for the smooth execution of works, avoiding any disruptions to the project schedule.

Project Tracking & Reporting:

+ Utilise planning software such as BigChange, or similar tools to track project timelines, milestones, and deliverables, ensuring that the project progresses according to plan.
+ Maintain up-to-date records of schedules, including any changes, delays, or adjustments, and ensure all stakeholders are informed of progress.

Stakeholder Communication & Collaboration:

+ Act as the central point of contact for stakeholders involved in the manhole cover and frame works, including clients, subcontractors, engineers, and customers.
+ Attend regular planning meetings with project teams, clients, and contractors to review progress, discuss issues, and ensure effective communication between all parties.
+ Maintain strong relationships with all stakeholders, fostering a collaborative and transparent working environment.

Health, Safety, and Environmental Compliance:

+ Ensure that all planning and project activities for manhole cover works meet required safety standards and environmental regulations.
+ Collaborate with the management team to identify potential risks and hazards and develop mitigation strategies.
+ Ensure all works comply with environmental regulations, especially in relation to the management of waste and pollution control.
+ Be aware of all Lanes Group policies and your responsibilities towards them.

Risk Management & Mitigation:

+ Ensure all works are carried out with due consideration to the potential impact on surrounding infrastructure, public access, and environmental factors.

Documentation and Reporting:

+ Assist in the preparation of progress reports, presentations, and any other documentation required for senior management, clients, or stakeholders, ensuring all documents are clear, accurate, and delivered on time.
+ Maintain thorough records of all project activities, including meeting notes, change orders, and quality assurance documentation.
+ Ensure that all project data, including schedules, resources, and materials, are accurately recorded and archived.
+ Any other reasonable ad-hoc tasks, duties or projects requested by management.

About you:





The ideal candidate will:


Have, ideally, previous experience in an administration or office coordinator role Be hard working and respectful Have great interpersonal skills to create relationships with the team, engineers, and wider Lanes Group network and a team-player attitude Be comfortable using Microsoft 365 and internal systems (with provided training) is preferred Have solid communication skills (both written and verbal) with professional telephone and email etiquette Be resourceful and proactive Multi-task, prioritise, work under pressure and on own initiative Strong attention to detail and have the ability to deal with people at different levels
