Due to Rotunda's expanding educational offer, we are recruiting for additional staff to help shape our offer across the Liverpool city region.

Role Purpose



To make sure learner data is accurate, processes run smoothly, and everything meets funding and compliance requirements. This role helps Rotunda stay on track with our prime contractor's expectations, supports strong relationships with partners and stakeholders, and ensures we're always audit-ready -- without the need for direct ILR submissions.

Key Responsibilities



Data Management & Accuracy

Keep learner records up to date in our MIS system, ensuring everything is complete and correct.

Monitor learner progress from start through to achievement, in line with LCRCA Devolved Adult Skills Fund subcontracting requirements.

Check and validate key documents such as enrolment forms, eligibility evidence, and learning agreements.

Compliance & Audit

Ensure compliance with LCRCA Devolved Adult Skills Fund funding rules and contracted arrangements.

Prepare for audits by keeping records accurate, organised, and easy to access.

Carry out regular internal checks on learner files and supporting evidence.

Reporting & Communication

Produce clear reports for managers, project leads, and our commissioners when required.

Track key measures such as retention, achievement, and timely completions.

Work closely with delivery teams to resolve any data or compliance issues promptly.

Maintain positive communication with partners, stakeholders, and main providers to ensure smooth collaboration and timely information sharing.

Process Improvement

Help improve administrative and compliance processes so they're efficient and effective.

Stay up to date with funding guidance and share any changes with the team and relevant partners.

Skills & Experience

Experience working with MIS systems in education or training.

Good understanding of LCRCA Devolved Adult Skills Fund funding rules and subcontracting compliance.

Excellent attention to detail and strong organisational skills.

Confident using Excel and other data reporting tools.

Able to work independently and manage deadlines effectively.

Essential

Experience with learner management systems (ideally PICS).

Previous involvement in audit preparation.

Person Specification



Experience & Knowledge

Background in MIS administration or compliance within education/training.

Understanding of LCRCA Devolved Adult Skills Fund funding rules and subcontracting requirements.

Familiarity with learner documentation (enrolment forms, eligibility evidence, learning agreements).

Skills

Strong attention to detail and accuracy in data handling.

Excellent organisational and time management skills.

Proficient in Microsoft Excel and data reporting tools.

Ability to work independently and meet deadlines.

Attributes

Honest, reliable, and able to maintain confidentiality.

Great communication skills for working with internal teams, prime contractors, and external partners.

Positive, problem-solving approach to challenges.

Desirable

Experience with learner management systems (e.g., PICS, Maytas).

Knowledge of adult learning funding streams and compliance frameworks.

Ability to develop and improve administrative processes.
