Mobilisation Administrator

Key activities:

  • Providing effective administrative support service to the Project Managers and their customers
  • Delivering the financial requirements for each project PRs, POs, GRNs and financial /Webcycle queries
  • Issuing of Purchase Orders and associated PO process and payments in accordance with financial procedure, involving
  • Procurement, Legal and Finance teams as appropriate
  • Resolving subcontractor payment queries on internal SAP system (Edifice) and processing invoices
  • Supporting the logistics aspect of day 1 planning or approach to exiting a contract (e.g. \xe2\x80\x9cDay1 tracker\xe2\x80\x9d, detailing every aspect of being ready - management of uniforms, IT requests and builds, inductions etc.)
  • Helping with the set-up and support of helpdesks - work order management, manuals etc
  • Arranging meeting invites, attendance and updating meeting minutes / action logs
  • Assisting in the development and improvement of quality documents
  • Taking responsibility for focal point for all project / department related requests for stationery, PPE, security clearance, access permits etc
  • Ensuring that when required customer contact is of highest quality and reinforcing company standing as highest quality service delivery
  • Assisting other support services departments as and when required in fulfilling any administrative office and administrative duties
Skills, experience, and qualifications:

Essential:
  • Experienced administrator with an understanding of Facilities Management
  • Excellent organisational skills with the ability to multitask and work towards time driven deliverables
  • Solid knowledge of Office 365 packages (MS Projects, Word, Excel, PowerPoint, and Visio)
  • Flexible approach and willingness to travel to multi sites
  • Previous experience in communications and reporting
Desirable:
  • Understanding mobilisations, FM contract knowledge and understanding of P&L
Knowledge of Maximo and Edifice
