We have an exciting opportunity for an Occupational Health Coordinator / Administration Assistant to join our wonderful team.

We are a busy GP practice serving 25,000 patients across the beautiful city of Winchester, based across two sites, the Friarsgate Practice in Weeke (SO22 6EL) and the Badger Farm Surgery (SO22 4QB).

Hours/Day:

37.5hrs / week (days and working patterns can be discussed)

Pay:

12.70-13.81, based on experience

Job summary/ Responsibilities



We are looking for someone who is highly organised, self-motivated with an ability to work well under pressure and use their own initiative. Holding a positive outlook on situations and a good sense of humour is also very beneficial.

GCSE English and Maths or equivalent is essential.

Comply in Mandatory Training standards Adhere to practices policies and procedures Preserve confidentiality for our patients and the practice Encourage continuity of care Daily use of the clinical systems Emis, Docman, Ice, TeamNet, Microsoft teams, Be the administrative "front of house" for our Occupational Health and Private Services Liaise with patients and new companies to arrange Occupational Health and Private Medicals - both via telephone and email. Understand the requirements for the various medicals we offer and arrange the necessary appointments, additional tests and paperwork both before and after the medical appointment. Build good relationships with new companies to expand our Private Services department Support our Finance Manager with invoicing and payment confirmation and the use of finance systems as required. Build a good working relationship with the Occupational Health/Friarsgate GP's to ensure an efficient and streamlined service for our private patients. Hold an understanding of the importance of IGPR and confidentiality Supporting other Private Services administration colleagues: Notes requests from patients, requesting/returning paper notes, GDPR/Consent requests, private GP letter requests etc. Support the Document Management Team with the daily running of the workflow requirements of the practice - Scanning documents, filing to the patient notes, monitoring the admin email, Notes in/out, Patient Summarising, post in/out etc. Process EMIS and Docman tasks daily

Good team player (Essential)

Comfortable using the telephone/offering a good telephone manner (Essential)

Ability to work under pressure (Essential)

Flexibility - this role is constantly evolving so the ability to offer positivity, enthusiasm and confidence when taking on new roles and responsibilities (Essential)

IT literate - Very comfortable with Microsoft Office, communicating via email, use of TEAMS (Essential)

Experience with EMIS and Docman (desirable but not essential as full training given)

Administrative / Office experience 1 year (desirable but not essential as full training given)

Understanding of Occupational Health Services / Private Medicals (desirable but not essential)
