The Administrator will play a vital role in supporting the Call Handling and Frontline Support teams by managing incoming communication, responding to client/referral partner queries, and ensuring efficient administration of client records and processes. You will be responsible for maintaining accurate documentation, handling incoming calls and emails, and supporting the smooth delivery of services to vulnerable clients seeking legal assistance (e.g., in relation to Non-Molestation Orders).
Key Responsibilities
Respond to
email enquiries
from clients, referrers, and partner organisations in a timely and professional manner.
Answer
incoming phone calls
, taking messages or directing calls as appropriate.
Support the
Call Handling Team
by managing documentation requests, general admin support and assessing client's grounds/merits to pursue civil protective injunctions.
Maintain and update client records and case notes on internal systems.
Monitor inboxes and distribute queries to the appropriate team member or department.
Track and log key information such as referral dates, follow-up deadlines, and document submissions.
Assist with preparing standard email templates, referral forms, and data entry tasks.
Ensure internal systems are kept accurate and up to date to support smooth case progression.
Provide general administrative support across departments as needed.
Help create a seamless and supportive experience for clients from first contact onwards.
