The Reprographics Officer provides full and efficient reprographic support to all teaching and support staff and manages and oversees the Reprographics room daily. They will fulfil all requests for printing and copying submitted by staff in a timely manner to meet any deadlines set. In addition, they will ensure that equipment in the Reprographics Room is maintained in a good working order, including arranging for any necessary repairs to be undertaken by specialist contractors, and manages the supply and stock levels of all consumables required for printing and copying. In addition, they will: -

Support the Catholic ethos of the school and to safeguard the well-being of its students Work with the Headteacher and business manager to ensure the school's compliance with safeguarding and safer recruitment procedures Provide secretarial and administrative support using excellent IT and Data Input skills Maintain the highest standards of accuracy, confidentiality, timeliness, attention to detail and customer service To carry out such particular duties as the Headteacher may reasonably direct
Duties include:

To manage available resources efficiently and safely Ensuring a safe working environment through implementation of the school's health and safety policy and using risk assessments where necessary. To liaise with the school's Health & Safety Officer in order to ensure that the school and national health and safety and risk assessment requirements are fully implemented

Key Responsibilities



Receiving printing/copying requests and fulfilling orders submitted using reprographic equipment; Assisting and training users with special MFD printing / copying requirements - paper sizes; document finishing; laminating; stapling; booklets etc; Fixing routine issues, eg paper jams, user-generated errors (wrong paper size etc); Maintaining and managing all stock including finalising and placing orders for new materials and paper; Undertaking regular, basic maintenance, including changing toner, and safety checks on all School reprographic equipment; Arranging for repairs of equipment, as and when necessary, to ensure smooth operation of all equipment Attending meetings and training sessions as required and assisting with major school functions eg Open Days, presentation evenings At the discretion of the Head and School Business Manager such other duties as may reasonably be requested or required Copy and print all required resources, including internal examination papers, revision guides and other documents, for staff Be responsible for repair and maintenance, quality, safety and effective operation of the school's reprographic equipment including photocopiers, printers and laminators, ensuring that equipment is always ready for use Demonstrate and assist with the safe and effective use of reprographic equipment/material Maintain and requisition all associated stock including consumables (paper, toners etc) Respect the confidentiality of all matters relating to the school, pupils and staff at all times Undertake reception duties, answering routine telephone and face to face enquiries and signing in visitors Assist with pupil welfare duties, looking after sick pupils, liaising with parents / staff etc. Assist in arrangements for school trips, events etc. Administration Undertake typing, word-processing and other IT based tasks Sort and distribute all mail Undertake administrative procedures Maintain and collate pupil reports Operate relevant equipment / ICT Packages (e.g. word, excel, databases, spreadsheets, internet) Maintain stock and supplies, cataloguing and distributing as required Operate uniform spares within the school Provide general advice and guidance to staff, pupils and others Undertake routine financial administration e.g. processing orders Responsibilities Be aware of and comply with policies and procedures relating to child protection, health safety and security, confidentiality and data protection, reporting all concerns to an appropriate person Be aware of and support difference and ensure equal opportunities for all Contribute to the overall ethos / work / aims of the school Appreciate and support the role of other professionals Attend and participate in relevant meetings as required Participate in training and other learning activities and performance development as required Experience General clerical / administrative / financial work Qualifications / Training NVQ 2 or equivalent qualification or experience in relevant discipline Good numeracy / literacy skills Knowledge / Skills Effective use of ICT packages Use of relevant equipment / resources Good keyboard skills Knowledge of relevant policies / codes of practice & awareness of relevant legislation Ability to relate well to children and adults Work constructively as part of a team, understanding school roles and responsibilities and your own position within these Ability to identify own training & development needs & co-operate with means to address these

As part of this apprenticeship, the successful candidate will undertake a

structured training programme

that includes:

On-the-job training - gaining practical experience within a school setting.*

Off-the-job training - attending sessions covering safeguarding, behaviour management, child development, and learning strategies.*

Regular assessments and feedback to track progress and improve skills.*

Additional learning support, particularly in literacy, numeracy, and communication.*
