We're seeking a versatile Office Administration Assistant to assist with the running of our central management offices located in Midsummer Place, Milton Keynes. Reporting to the Finance & Business Support Manager, the Office Administration Assistant is key to efficiency in our dynamic, fast-paced environment. The Office Administration Assistant will be responsible for; updating calendars and schedules, managing front-of-house duties, obtaining data from our retailers, updating compliance documents,assisting with HR documentation and supporting with ad-hoc administration duties as requested by their line manager.
Key Responsibilities
Front-of-House & Reception:
+ Greet visitors, manage the process of signing visitors in or out of site.
+ Oversee the customer service inbox; responding to enquiries promptly and professionally. Administrative Coordination:
+ Raise purchase orders, liaise with suppliers, and monitor office supplies.
+ Manage calendars, schedule meetings, and coordinate appointments for teams.
+ Maintain office systems with assistance from the Business Support Manager.
+ Process HR documentation. Data & Reporting:
+ Collate/transpose data, prepare reports, and communicate with retailers with assistance from the Business Support Manager. Cross-functional Support:
+ Assist teams with ad-hoc tasks and project coordination.
Skills, Knowledge and Experience
Minimum required:
2-3 years of office administration experience
Proficient in MS Office products such as Excel, Word, Outlook
Proactive, high attention to detail and adaptable with a can-do attitude
Strong organisational and multi-tasking skills
Advantageous:
Knowledge of the retail industry's back-of-house functions
IOSH Managing Safety or equivalent H&S qualification
Working Hours - 30hrs, 9.45am - 4.45pm
Salary - 22,500.00
