We are seeking a highly organised and detail-oriented Office Administrator to join our family run construction company. This role is vital in ensuring the smooth operation of daily administrative functions and supporting various departments within the organisation. The ideal candidate will possess strong computer skills, excellent communication abilities, and prior office experience with the ability to work well in a team as well as independently. Duties
Manage incoming calls with professional phone etiquette and direct enquiries appropriately
Organise and maintain filing systems, both digital and physical, ensuring easy retrieval of information
Perform data entry tasks accurately using Microsoft Office and Google Workspace applications
Assist with scheduling appointments, meetings, and maintaining calendars for staff members,
Using different systems to manage and update jobs on a daily basis,
Communicate with staff working on the road to ensure their jobs are going as planned and to assist with anything they may need,
Ensure all company documents are up to date and managed,
Prepare correspondence and reports as required
Support other administrative functions such as ordering supplies and managing office inventories
Ensure the office environment remains tidy, organised, and welcoming for visitors and staff alike
Requirements
Proven office experience or administrative background is desirable,
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
Experience with QuickBooks or similar accounting software is desirable
Strong organisational skills with the ability to prioritise tasks effectively
Excellent typing speed and data entry accuracy
Good communication skills with professional phone etiquette
Demonstrated clerical experience including filing, record keeping, and document management
Ability to work independently with minimal supervision whilst maintaining attention to detail
